Job Summary:
Reports to the Human Resources (HR) System Manager of Employment and is responsible and accountable to efficiently coordinate all aspects of new hire and non-employee on-boarding according to federal, state and Forrest Health guidelines. Partners with and serves as a backup to the Customer Relations Specialist at the HR Front Desk to ensure prompt, quality service to our customers on the phone and in the lobby while consistently using tact, poise, compassion & patience in all interactions.
Performance Expectations:
Lead individual new hire on-boarding sessions, assembling and organizing all required paperwork Prepares and distributes new employee report for each orientation group. Manage the Live-Scan fingerprint process in compliance with federal and state laws. Enter and maintain I-9/E-Verify records in Lawson, track document expiration dates, obtain updated documents, and notify the System Manager of Employee Relations of any deficiencies. Ensure completeness and accuracy of new employee & non-employee files by: Reviewing new hire files for missing information & documentation Notifying new hire of which documents & setting deadlines. Following-up as needed and communicating deficiencies to the appropriate HR personnel. Distributing completed paperwork to the appropriate personnel. Maintain compliance with all federal & state laws/regulations relating to employees and non-employees. Efficiently routes inquiries to the appropriate resource. The go-to person for Human Resource's Onboarding system and hospital badging system. Print and issue badges for new hires, employees with recent department and/or job title changes, and lost/damaged. Also, responsible for assigning & printing non-employee badges. Schedules on-boarding appointments for non-employees. Interacts with all people with tact, poise, compassion, empathy, and patience. Partners with Customer Relations Specialist to open, close and maintain the HR Operations lobby daily. Maintains strict confidentiality for all department and hospital information as appropriate. Demonstrate cultural sensitivity and effective communication with patients, families, and visitors. Perform other duties as assigned by the System Manager of Employment or System Director of Human Resources.
Qualifications:
Education/Skills:
High school diploma or equivalent, typing speed of 35 wpm net and computer proficiency required. Microsoft Office Suite experience required.
Work Experience:
Two or more years' experience in clerical and/or customer service in a fast-paced environment are required. One to three years clerical experience in the human resource or recruiting field is preferred.
Mental Demands:
Strong attention to detail and the ability to manage multiple tasks, deadlines, and compliance requirements simultaneously. Demands sound judgment in problem-solving, decision-making, and handling sensitive & confidential information while maintaining accuracy and professionalism. Effective communication, interpersonal skills, and cultural sensitivity are essential for interacting with diverse individuals in a variety of situations, including high-stress or sensitive circumstances. Adaptability, organizational skills, and sustained concentration are necessary to perform complex onboarding, documentation, and regulatory processes efficiently and accurately.
