Job Description

JOB TITLE
Human Resources Specialist $20-$22/hr to start, progressing to 26.91/hr
REPORTS TO
Director of Human Resources
OVERVIEW OF ROLE
Performs administrative and clerical duties necessary to carry out the day-to-day duties and functions of the Human Resources Department. Supports employees and all supervisors / managers as internal customers by providing timely and accurate information. Supports corporate desired state by enhancing the work experience, providing professional internal customer service and confidentiality.
DUTIES AND RESPONSIBILITIES
  • Respond to employee questions either in person or via the telephone demonstrating Ward standard for customer service and telephone etiquette.
  • Assist in the management of employee unemployment claims including completion of all required forms/questionnaires and tracking of all filings/determinations relating to eligibility for benefits and employer charges.
  • Manage FMLA notification process including tracking.
  • Assist in maintaining and organizing HR image file system, including employee picture database.
  • Process employee background checks to include the reconcilement of employee vendor invoice for payment.
  • Assist in the administration of the non-DOT & DOT pre-employment and random drug-testing program.
  • Coordinate placement of employment ads for all positions within Company as directed, including utilization of internet recruiting sources.
  • Administer driver/dock recruiting bonus.
  • Manage internal job posting process.
  • Process candidates in centralized hiring and HR core and sub systems.
  • Coordinate and assist in the management of the exit interview process to include development and management of tracking system.
  • Complete and submit required "new hire" reporting to ensure compliance with governmental regulations. Perform internal audit function to ensure HR receipt of all new hire files.
  • Research and prepare own correspondence in answer to inquiries and / or problems brought to the department's attention by telephone or mail.
  • Perform regular clerical duties including typing, filing, word processing, spreadsheet processing, photocopying, mail distribution, etc.
  • Serve as backup to perform major duties of other HR Assistant positions and major HR duties during vacations/peak periods.
  • Other duties as assigned.
Job Requirements:
REQUIREMENTS
  • Must have excellent people skills in order to effectively communicate with employees and their spouses.
  • Must maintain high degree of confidentiality.
  • Must have proficient clerical skills, strong organizational skills as well as have good verbal and written communication skills.
  • Must be detail oriented.
  • Must be self-managing in order to track/follow up on outstanding items.
  • Must be proficient with PC's and have a good working knowledge of word processing.
  • Must work within a team environment and be willing to support other team members during peak periods or vacation.
  • Must show / demonstrate sound judgement / decision making skills.
  • High school education with some advanced education after high school preferred.
  • Must have basic ability to use office equipment such as computer, calculator, photocopier, fax, etc.
  • Must be able to work hours as needed.
  • Must be willing to occasionally travel within Ward footprint as needed / required to support operational needs.
