Non-Exempt A Brief Overview The Staffing Coordinator is the primary individual responsible for developing and managing the shift-to-shift staffing plan for Acute Care Services at the Topeka campus. This role supports two core functions—staffing and scheduling—by maintaining real time awareness of staffing needs and available resources across acute care service areas. Serving as a key operational resource, the Staffing Coordinator collaborates closely with the Command Center and the Administrative Director of Acute Care Services to analyze workload, assess staffing variances, and recommend appropriate staffing and scheduling strategies. The position functions as the central point of contact for staffing related communication, proactively notifying staff of open shifts, coverage needs, and schedule changes. Through timely, clear, and professional communication using approved channels, the Staffing Coordinator supports adequate staffing levels, continuity of patient care, and overall operational efficiency. Education Qualifications Associate's Degree Associate degree in healthcare, business or related field. Required or 60 college credit hours in a related field. Required Bachelor's Degree Associate degree in healthcare, business or related field. Preferred Experience Qualifications 2 years Experience working in an acute care/hospital setting or related healthcare experience Preferred Skills and Abilities Ability to accurately prepare and maintain records, files, and reports. Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Strong organizational, interpersonal and communication skills. What you will do Develops, oversees, and adjusts shift‑to‑shift staffing plans for Acute Care Services in collaboration with the Administrative Director and Command Center to ensure appropriate staffing across Critical Care and Medical‑Surgical service lines based on patient needs and available resources. Utilizes forecasting and modeling tools to present capacity and demand analysis. Delivery of information to department leadership pertaining to scheduling challenges on a regular and frequent basis. Monitor, receive and maintain call ins and adjust staffing according to available resources. Assign staff to all departments through floating across the system based on the census and productivity targets. Effectively tracks and manages staffing information including staffing changes, staffing schedules and changes in staff assignments. Responsible for updating and publishing the Facilitated Staffing Guide (FAC Board). Meets with Department Managers weekly to review schedules and solve staffing and scheduling challenges. Responsible for adherence to financial goals while scheduling, with consistent mindfulness of overtime, incentive contracts and department productivity. Tracks, compiles, analyzes and reports on a variety of data related to scheduling and acute care workforce. Provides information and analysis to management as requested, through special projects and ad hoc reporting. Serves as the primary point of contact for staffing‑related communication, proactively notifying staff of open shifts, coverage needs, schedule changes, and staffing updates using approved communication channels. Maintains real-time accuracy of the time and attendance system by immediately updating staffing changes resulting from daily staffing decisions, including call-ins, call-offs, float assignments, shift modifications, coverage adjustments. Assists in the development and and recommendations of best practice recommendation to clinical leaders that will help support ongoing support of workforce and scheduling. Collaborates closely with leadership to increase knowledge, productivity, and support when needed. Consistent and positive communication with nursing units and across the system. Serves as a liaison between staff and leadership by managing staffing‑related inquiries and issues and supporting resolution efforts. Assists department leadership with scheduling communication for new staff to ensure a seamless onboarding experience.
