District Primary Purpose:
To assist and promote La Joya ISD in implementing a rigorous curriculum/instructional program that supports student success and achievement.
Department Primary Purpose:
To assist in the planning and coordination of the Human Resources Department to promote the overall effectiveness and efficiency of personnel services.
Qualifications:
Education/Certification:
High School Diploma or a Associates Degree preferred Type minimum 55 wpm and knowledge in basic office equipment/machines. Interpersonal skills to work with all levels of employees. Must be computer literate.
Experience/Knowledge:
Five years minimum secretarial experience. Experience working with Skyward, LINQ, TalentED in a school district setting. Correct English usage, grammar, spelling, and punctuation, modern office methods and procedures, equipment and filing systems, proofreading, statistical and record-keeping, training and performance.
Major Responsibilities and Duties:
File Management Notify applicant(s) of board approval, receive and process approved personnel, and ensure personnel file is complete with required documents. Notify principal/departments of board approvals (recommendations/resignations) Process requests for official district records, including maintaining log of requests for records, retrieving documents, copying, and mailing records. Input all employee data to include salary accurately in employee management system. Submit employee changes for payroll processing timely and accurately (pay dates, account distribution, dates, location, job code, earn code and employee category etc.). Adhere and comply with all Human Resources and Payroll deadlines. Prepare, complete and submit employee changes accurately with supporting documentation on a daily basis to HR accountant. Process employee resignations to ensure overpayment does not occur. Prepare & process release letters in a timely manner. Submit unsubscribed list to Internal Affairs in a timely manner. Respond to requests for verification of employment. Assist with the development of document storage and retrieval procedures. Maintain updated vacancy logs, department(s) and campus rosters. Prepare correspondence, forms, reports etc. for department staff members as requested. Compile pertinent data as needed when preparing various federal, state, and local reports. Gather, analyze, interpret and disseminate data relevant to personnel. Prepare and distribute letters or reasonable assurance and employment contracts. Communicate with assigned Human Resources administrator for any all tasks pertinent to the job. Maintain confidentiality. Perform other duties as assigned.
