Primary Purpose:
Perform assigned tasks in the overall function of the Human Resources department to ensure that all aspects of the day to day operation are handled in the most efficient and accurate manner. Education/Certification:
High School Diploma or GED Bachelor's degree (preferred) Bilingual preferred
Special Knowledge Skills:
Proficient typing, word processing, file maintenance skills Effective organizational, communication (verbal and written), and interpersonal skills Possess excellent customer service and customer care skills Ability to use computer and software to develop spreadsheets, databases, word processing, and presentations Skill and experience in problem-solving Ability to build and develop relationships Ability to handle sensitive situations and maintain a high degree of confidentiality Must be able to work with limited or no supervision
Experience:
Must have computer skills and able to use multiple office specific computer programs (Excel, Word, Outlook, TEAMS, Zoom), copy machine, scanner, multi-phone system Flexibility and skill in prioritizing tasks Initiative to keep up with changing and new knowledge and processes Solution oriented-exceptional problem-solving skills Knowledge and experience with MUNIS (preferred) Knowledge and experience with TalentEd (preferred) At least one year of Human Resources experience (preferred)
Major Responsibilities and Duties:
Accurately process paperwork for newly hired employees, retirements, resignations, terminations, assignment changes. Verify fingerprinting status required by State Board for Educator Certification. Provide instruction to new hires regarding fingerprinting process and registration of appointment. Understanding and ability to vet candidates (as needed). Enroll newly hired personnel in a benefits orientation. Prepare appropriate contract or letter of assurance for new and current staff. Accurately process all legal hiring documents to include federal/state and district forms required for employment Maintain both hard copy and electronic personnel files ensuring appropriate federal and state mandated documents are included and up to date. Maintain personnel files and electronic personnel files. Audit personnel files for deficiencies annually. Process Service Records for employee resignations and retirements. Analyze and recognize discrepancies in Service Records to be corrected for accuracy. Accurately process employee resignations and retirements to ensure appropriately coded exit payment and benefits. Maintain an accurate and up-to-date list of all yearly hires, resignations, retirements, terminations. Maintain an accurate and up-to-date list of all Interns, Emergency Permits and Waivers. Maintain and accurate and up-to-date list of all DOI employees. Verify T-TESS, and AEL or ILD certification Verify certification or license prior to hire and annually Maintain job postings on the district website. Reconcile job descriptions with the district supervisors to ensure there is a job description for every job posted. Follow up with supervisors to review and update job descriptions annually or as positions become vacant. Maintain electronic copies of job descriptions. Stay up-to-date with training on the application system, troubleshoot for the online application system, and correct issues or concerns with applications and posting. Provide support to applicants regarding the online application system. Attend staff development workshops in order to obtain required annual training. Answer phone and e-mail inquiries related to Human Resources. Possess strong understanding of Human Resources procedures and policies in order to respond knowledgably to stakeholder inquiries. Work collaboratively with other departments and campuses in regards to employee needs. Assist with district job fairs (when applicable). Participate in goal setting each year with supervisor. Follow the ECISD Strategic Plan. Other duties as assigned.
