Position Summary:
Ducworks Inc. is a fast-paced, precision-focused welding and machining fabrication company. The Human Resources Generalist serves as the primary point of contact for employee relations and is responsible for leading all HR functions, including recruitment, onboarding, payroll administration, compliance, and safety support. This role is highly visible and requires a courteous, professional demeanor and a thorough understanding of company policies and regulatory requirements.
Minimum Qualifications:
Bachelor's degree in Human Resources, Business Administration, or a related field is preferred or 6 years of experience in the HR field, or any similar combination of education and experience.
Duties and Responsibilities:
General:
- Coordinate Worker's Compensation and Health/Dental Insurance quotes and renewals.
- Assists with employee recognition programs and company events.
- Maintains Ducworks Affirmative Action Program.
- Maintain the Ducworks' Policy Manual and make revisions when necessary.
- Administers the Ducworks parking policy.
- Participates in monthly company safety meetings by recognizing employee birthdays, anniversaries and providing HR updates as necessary.
- Performs other duties as assigned.
Human Resources:
- Leads the recruitment process by: o Ensuring there is an accurate job description for each position. o Posts job ads to recruiting sites and other media outlets. o Screens applications and resumes for managers. o Conducts phone interviews, schedules and participates in interviews.
- Leads the onboarding process by: o Scheduling pre-employment drug screening and physicals for all new hires.
o Conducting new benefits enrollment for new employees. o Creating and maintaining employee digital and physical files. o Verifies I-9 documentation and completes E-Verify. o Obtaining employee signatures for all required documentation during the onboarding process. o Hosting on-boarding orientation meeting with employee and manager. o Entering employee birthday and anniversary on the shared management coordination calendar.
- Ensures that confidential employee files are kept in a locked room or locked file cabinet.
- Maintain attendance calendars and tracks attendance. Assists managers with approving leave requests.
- Interact daily with employees by walking the production floor and interacting with employees who may need assistance.
- Maintain an open-door policy, and converse with employees when they have concerns or need assistance.
- Keep records of all safety training and employees who need certified or recertified.
- Coordinate random drug screening in conformance with the Ducworks Policy Manual.
- Performance reviews: o Prepare the Performance Planning Map for 60-day reviews and assist managers with completing the review.
o All annual performance reviews occur during the month of June. Prepare for these reviews in April and May by distributing review templates for each employee to managers. During the month of May set appointments for all reviews. During the month of June sit in and assist managers with conducting the reviews. o Follow-up with managers on the status of reviews and file the review in the employee file when complete.
- Assist managers with preparing and issuing verbal and written warnings and keeping records of these actions in the employee file.
- Advises department managers on company policies.
- Processes terminations paperwork and benefit information.
- Produce an annual Benefits Statement for each employee showing the following: Company health insurance contribution, 401k matches, Vacation pay, and Holiday pay.
Payroll:
- Maintains the payroll system and updates all employee information changes.
- Performs payroll/benefit-related reconciliations. Completes bi-weekly reports for benefits.
- Performs weekly and bi-weekly payroll; audits timecards and reconciles benefit deductions.
- Prepares certified payrolls, calculates prevailing wage rates and calculates the deductions based on the employee's current level of benefits.
- Submits bi-weekly, monthly, quarterly and annual payroll taxes, quarterly unemployment taxes, and submits monthly Worker's Compensation Payroll interim report.
- Keep an updated employee HR spreadsheet to track benefits.
Safety:
- Maintains and coordinates company safety bingo game.
- Maintains and coordinates safety bonus for department managers.
- Keeps a record of weekly Toolbox Safety meetings.
- Maintains
OSHA 300
Log and reporting of worker's compensation injuries.
- Prepare injury reports with the help of Department Managers.
- Tracks days and hours worked since the most recent recordable incident and lost time and watches for significant milestones.
- Ensure that new hires (including temporary workers) are oriented on pertinent safety topics by their department manager.
