5 Newton, MA Job Details Full-time $65,000 a year 1 day ago Qualifications Mid-level Organizational skills Communication skills Time management Full Job Description Health Advances is looking to hire a Case Team Assistant (CTA) for the Newton, MA office. Reporting to the Senior Director, Market Research Operations, CTAs support our consultants working on healthcare-related projects. Primary responsibilities include sourcing, recruiting and scheduling domestic and international interviews with healthcare specialists, managing vendor relations, maintaining and updating internal databases, monitoring primary research case budgets and expenses, and managing the administrative tasks associated with interviews, including proofreading case presentations.
Case Team Support Project Operations:
Support project kickoff and closeout activities Maintain project tracking tools and databases Update and manage CRM and recruiting systems Coordinate with vendors for recruiting, translation, transcription, and other research support services Track and reconcile market research invoices and project expenses Communicate proactively and regularly with team on status of primary research program, tasks assigned Support case teams with project logistics and administrative requirements Contribute to process improvement initiatives and operational efficiencies within the primary research program
Primary Research and Expert Recruiting:
Coordinate and manage expert interview programs from expert identification, sourcing, communication, scheduling and payments Mine and maintain internal database and external resources for experts as needed Send interview request letters and manage outreach programs Schedule and coordinate interviews Manage interview logistics, including compliance documentation Coordinate with Case Administrative Assistant on W-9s and follow-up as needed Add, update, and maintain expert and interview information in CRM system Update and maintain recruiting status for primary research program Coordinate expert payments and ensure interview records are accurately maintained, including status of interviews and payments sent Make cold calls to assist in sourcing experts through telephone, email, LinkedIn, and other channels Assist with outside vendors for recruiting, interpreters and translations as needed Presentations/documents Proofread case presentations Work closely with other CTAs, especially when additional coverage is required on cases Ad hoc projects, as assigned Qualifications Education & Experience Bachelor's degree required Life sciences degree or 1-2 years of relevant healthcare, life sciences, market research, sales, telemarketing or research experience preferred Experience and/or willingness to make cold calls to assist in sourcing experts through telephone, email, LinkedIn, and other channels Experience doing online research Experience with a CRM is preferred Professional Skills Must be able to work in a collaborative and supportive team environment Strong customer service orientation and demonstrated ability to exercise creativity in resolving customers' information needs Excellent communication (both oral and written), time management, organization, and teamwork skills Demonstrated problem-solving skills Attention to detail with the ability to multitask and deal gracefully with a fast-paced environment with speed and accuracy Aptitude to learn some technical language related to healthcare products Respect for confidentiality Proficient in Microsoft Office suite of products Genuine interest in healthcare and the firm's mission Work Expectations Must reside in the Boston area and work onsite at the Newton, MA office ~2 days per week (subject to change) Full-time role at 45 hours per week Standard schedule: Monday-Friday, 8:00am-5:00pm ET Permanent US work authorization required Health Advances offers a creative and stimulating work environment, a comprehensive compensation and benefits package, and a challenging career opportunity.

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. The base pay range for this role is $65,000 USD. You are eligible for an annual incentive program (with a reasonable first year estimate ranging from $0
  • 3,900 USD).
