English | Bilingual (preferred) Position Summary The Recruitment Clerk II provides administrative and operational support to Wiwynn's Recruitment function, with primary responsibility for supporting the conversion of contingent employees to direct Wiwynn employment and coordinating new-hire onboarding activities with staffing agencies and Training & Development. The position also provides general administrative support to the Recruitment team, including maintaining records, updating trackers, preparing documentation, coordinating communications, and assisting with routine recruiting activities. This role requires strong attention to detail, organization, follow-through, and accuracy in a fast-paced manufacturing environment. Key Responsibilities Contingent Employee Conversion Support Support the process of converting eligible contingent employees from staffing agencies to direct Wiwynn employment. Maintain conversion trackers and monitor employees approaching established conversion eligibility requirements. Coordinate with recruiters, staffing agencies, hiring managers, and HR regarding employees identified for conversion. Verify employee information, position title, department, department code, shift, pay information, supervisor, agency, and anticipated conversion date. Prepare and organize required conversion documentation for review and processing. Follow up on outstanding approvals, documentation, or other requirements that may delay a conversion. Communicate conversion status and effective dates to appropriate internal partners and staffing agencies. Maintain accurate records of pending, completed, delayed, or cancelled conversions. Escalate discrepancies or exceptions to the Recruitment Supervisor or assigned recruiter. Onboarding & Orientation Coordination Coordinate Recruitment's administrative responsibilities related to new-hire onboarding and orientation. Work closely with staffing agencies and Training & Development to ensure accurate and timely new-hire information is provided prior to orientation. Verify employee name, position, department, shift, work location, start date, agency, and other required onboarding information. Prepare and maintain onboarding rosters and related documentation. Communicate changes, cancellations, reschedules, or corrections to the appropriate teams. Assist with providing new employees and staffing agencies with reporting instructions and onboarding information. Track scheduled new hires, attendance, cancellations, reschedules, and no-shows. Assist with new-hire badge or identification coordination as required. Resolve routine discrepancies and escalate issues that may delay or prevent an employee from beginning work as scheduled. Ensure Recruitment records are consistent with the information provided to Training & Development and other HR functions. Recruitment Administrative Support Provide general administrative support to recruiters and Recruitment leadership. Maintain organized recruiting files, records, trackers, and documentation. Assist with data entry and routine updates to recruiting reports and systems. Prepare standardized correspondence, forms, spreadsheets, and other recruiting documentation. Assist with scheduling interviews, meetings, and other recruitment-related activities as requested. Route candidate, employee, agency, or manager inquiries to the appropriate Recruitment team member. Assist with document collection and follow-up on missing information. Support recruiters with routine candidate and staffing-agency communication as directed. Maintain confidentiality of candidate, employee, and company information. Staffing Agency Support Assist with routine communication between Recruitment and approved staffing agencies. Request missing or corrected employee information when necessary. Maintain documentation related to agency employees, conversions, onboarding, and employment status. Support recruiters with tracking agency submissions, selections, anticipated starts, and related information. Route agency questions or issues to the appropriate recruiter or Recruitment Supervisor. Assist with ensuring staffing agencies receive accurate and timely administrative information. Data & Reporting Support Enter and maintain accurate Recruitment information in spreadsheets, trackers, ATS/HRIS systems, and other reporting tools. Assist with routine updates to the Open Positions Report and other Recruitment reports as assigned. Review information for completeness and accuracy before distribution. Assist with audits and reconciliation of Recruitment, onboarding, or conversion records. Identify and report discrepancies that may affect employee onboarding, headcount reporting, position information, or HR records. Support preparation of routine weekly or monthly Recruitment information as requested. General Department Support Assist with maintaining Recruitment templates, forms, SOPs, and process documentation. Provide clerical and administrative support for Recruitment projects as assigned. Support document organization, scanning, filing, and electronic record maintenance. Assist with meeting preparation, reports, correspondence, and other administrative tasks. Provide backup support to other Recruitment team members during periods of increased workload. Perform other Recruitment-related administrative duties as assigned.
Education / Experience
High school diploma or GED required. Associate degree in Human Resources, Business Administration, Office Administration, or a related field preferred. 1-3 years of administrative, HR, recruiting, staffing, customer service, or office-support experience preferred. Experience working in a manufacturing, warehouse, staffing-agency, or high-volume environment is a plus. Experience handling confidential employee or candidate information preferred.

High level of discretion when handling confidential employee and candidate information. Dependable attendance and consistent follow-through on assigned responsibilities. Bilingual English/Spanish communication skills preferred. Work Environment Primarily office-based position supporting manufacturing and warehouse operations. Frequent interaction with Recruitment, Training & Development, HR Operations, staffing agencies, managers, candidates, and new employees. Periodic presence in orientation, manufacturing, or warehouse areas may be required. Workload may increase during high-volume onboarding and conversion periods. Physical Demands Ability to sit and work at a computer for extended periods. Frequent use of standard office equipment. Ability to stand and walk as needed throughout office or operational areas. Ability to communicate effectively by telephone, email, virtual meeting, and in person. Ability to lift and carry office materials weighing up to approximately 25 pounds.
