Performs a wide variety of professional development roles, including, but not limited to: manage the PowerSchool Professional Learning (PS PL) platform, resource provider for the PS PL platform, offer PS PL platform help sessions, and update school rosters in the PS PL platform throughout the district.
DUTIES AND RESPONSIBILITIES
The Professional Development Secretary Clerk shall: Serve as the primary administrator for the Birmingham City Schools PowerSchool Professional Learning (PS PL) platform. Manage the daily operations, maintenance, and organization of the PS PL platform to ensure accurate and efficient professional learning records. Create, schedule, publish, and maintain professional learning events, courses, learning paths, and catalogs within the platform. Maintain accurate employee accounts by updating school assignments, organizational structures, job classifications, and district rosters in collaboration with Human Resources and Information Technology. Provide first-level technical assistance and troubleshooting for district employees utilizing the PS PL platform. Plan and facilitate in-person and virtual PowerSchool Professional Learning help sessions for district administrators, school leaders, instructional staff, and support personnel. Assist departments with the development, registration, tracking, and reporting of district professional learning activities. Generate and analyze reports related to attendance, course completion, professional learning hours, compliance requirements, and educator participation. Monitor participant registrations, approvals, waitlists, evaluations, transcripts, and certificates of completion. Ensure the accuracy, integrity, confidentiality, and security of employee professional learning records in accordance with district policies and applicable state and federal regulations. Collaborate with district departments to support implementation of professional learning initiatives and ensure alignment with district strategic priorities. Coordinate logistics for district professional development events, including registration management, communications, participant materials, and technology support. Maintain departmental records, databases, calendars, correspondence, and documentation. Provide clerical and administrative support to the Director of Professional Development and department staff. Assist with special projects, data collection, budget documentation, purchasing, and other departmental initiatives as assigned. Perform other duties as assigned by the Director of Professional Development.
QUALIFICATIONS
The successful candidate should possess: High school diploma or GED required; Associate's degree or higher in Business Administration, Educational Technology, Office Administration, Information Systems, or a related field preferred. Minimum of three (3) years of progressively responsible clerical, administrative, educational technology, or professional development support experience preferred. Experience managing learning management systems (LMS), professional learning platforms, or enterprise database systems preferred; PowerSchool Professional Learning experience highly desirable. Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Teams), Google Workspace, and other web-based applications. Strong technology skills with the ability to quickly learn and manage software applications. Excellent organizational, time management, and project coordination skills with exceptional attention to detail. Ability to manage multiple priorities and meet established deadlines in a fast-paced environment. Strong analytical and problem-solving abilities. Excellent verbal, written, and interpersonal communication skills. Ability to provide outstanding customer service while supporting employees at all organizational levels. Ability to maintain confidentiality of employee information and exercise sound professional judgment. Ability to work independently while collaborating effectively with district departments and school personnel. Such alternatives to the above qualifications as the Board may require.
