Key Responsibilities Day-to-day responsibilities of this position: Provide support to the NEO Coordinator Periodic reception duties with CMTB clinics Maintaining shared schedules Prepares interview documents & panel members Facilitates/assists with NEO interviews Contacts applicants to schedule interviews, follows up Facilitates/assists with fingerprinting and Livescan process Monitoring office supplies and placing orders each week Completes Environmental tasks each week Facilitate 3 fire drills per quarter Ensure employees are up to date with training Performing data entry and maintaining shared documents Prepares and/or processes documents; reviews documents for accuracy and completeness; reconciles discrepancies; makes needed adjustments; updates information and/or evaluates against policy; compares elements for consistency or logical relationships, etc. Writes or drafts correspondence, reports, documents and/or other written materials. Maintains and/or creates files or record keeping systems. Sorts, labels, files and retrieves documents, or other materials. Receives, researches and responds to incoming questions or complaints; provides information, explains policy and procedures, and/or facilitates a resolution. Qualifications Minimum or "day-one" qualifications: Works independently and is able to use sound judgment Organized and has the ability to multi-task Professional, responsible, friendly Has general knowledge of office equipment Preferred or trainable/on-the-job qualifications: Candidates who have advanced office skills Candidates who have advanced knowledge of office equipment About the Role Incumbents in this job exercise independent judgment in office specialties and perform complex production tasks requiring specialized office skills plus a comprehensive knowledge of pertinent rules, regulations, policies, and procedures. Incumbent will serve as the focal point for advanced agency-specific assignment(s). Incumbents process a variety of agency documents by reviewing for accuracy and completeness, updating information, evaluating against policy, comparing elements for consistency or logical relationship, and otherwise taking action where such procedures may require independent judgment. Applies agency regulations, policies and procedures. Originates correspondence, documentation, and other written communication; provides the public and others with information and assistance in completing forms and applications; locates and assembles records and information which may be complex or difficult to identify, and which may require substantial research, judgment, and subject matter knowledge. Prepares and generates recurring reports involving automated processes and thorough subject matter understanding. Other tasks may include, but are not limited to: performing basic accounting functions such as receiving and recording cash payments, basic bookkeeping, processing payroll, accounts payable/receivable, etc.; maintaining calendars, schedules and coordinating appointments, meetings, training, facilities and other activities; assists in the training of vendors and new employees; ensuring an adequate supply of materials by ordering, receiving, inspecting and storing equipment, merchandise, commodities, materials, and/or supplies.
