We are looking for someone who is equally comfortable balancing hospitality and operations—someone who can warmly greet a client one moment and accurately reconcile payments, inventory, and appointments the next. Our clients should feel both genuinely welcomed and completely taken care of. At Ritual Skincare Spa, we're seeking a Spa Operations Assistant / Front Desk Coordinator who is warm, professional, highly organized, and exceptionally detail-oriented. This role is perfect for someone who enjoys creating order, keeping things running smoothly behind the scenes, and ensuring every client receives an outstanding experience from the moment they walk through our doors. We're looking for someone who takes ownership of their responsibilities, can be trusted to manage important tasks independently, and doesn't require oversight or reminders.
KEY RESPONSIBILITIES
Welcome and greet clients with warmth and professionalism Open and close the spa and treatment rooms each day Maintain cleanliness, sanitation, and laundry standards throughout the spa Monitor inventory and supply levels Manage client communications and correspondence Assist providers with smooth appointment transitions Schedule and confirm appointments Process payments accurately and responsibly Sell retail products and gift cards Assist with marketing and social media initiatives Help ensure every client feels cared for and valued throughout their experience
THE POSITION REQUIRES

THE IDEAL CANDIDATE
Has experience in a spa, salon, medical office, retail, hospitality, or appointment-based business Is dependable, responsible, and punctual Can effortlessly switch between client interaction and administrative tasks Understands that hospitality is in the details Creates a welcoming environment while maintaining professionalism and efficiency Notices small details that others often miss Can be trusted to complete tasks thoroughly without micromanagement Is comfortable learning new software and client management systems Takes pride in keeping records, payments, appointments, and operational details accurate and up to date Maintains confidentiality and professionalism Is emotionally intelligent, kind, and team-oriented Values honesty, integrity, and accountability
WHAT SUCCESS LOOKS LIKE IN THIS ROLE
Client accounts, appointments, and payments are handled accurately The spa remains clean, organized, stocked, and prepared for each day Providers can focus on clients because operational details are handled Clients consistently feel welcomed, cared for, and impressed by their experience We're not looking for someone who simply wants a front desk job. We're looking for someone who takes pride in creating exceptional client experiences while ensuring the details behind the scenes are handled accurately and consistently. This is not the right fit for someone who needs frequent reminders, struggles with follow-through, or prefers highly structured supervision.
SHIFT Monday, Wednesday, & Friday:
9:45 AM•7:00
PM Saturday:
8:45 AM•2:30 PM (One Thursday per month: 9:45 AM•7:00 PM. During that week, Friday and Saturday are off.)
