We're looking for someone who takes initiative, follows through, and can confidently manage a busy schedule across our spa locations. As the first point of contact, you will play a key role in turning inquiries into appointments, keeping our team organized, and making every client feel welcomed and cared for. Key Responsibilities Respond professionally to phone calls, texts, and client inquiries in English and Spanish . Follow up promptly with interested prospects, explain service options, and convert inquiries into scheduled appointments. Coordinate appointment calendars for two locations, ensuring accurate scheduling and clear staff communication. Confirm appointments, manage rescheduling, and follow up on cancellations and missed visits. Welcome clients, assist with check-in and checkout, and provide attentive service throughout their visit. Maintain accurate client records, treatment notes provided by staff, payments, and account information with discretion. Coordinate daily staff assignments and complete clear end-of-day handoffs. Keep the reception area polished, organized, and welcoming. Required Qualifications Fluency in both English and Spanish is mandatory , including the ability to handle client calls and written messages in both languages. Strong organizational skills and the ability to manage multiple priorities accurately. Excellent communication skills and a confident, professional phone manner. Reliable attendance, punctuality, and consistent follow-through. Comfort using scheduling software, computers, and digital communication tools. A client-focused attitude and the ability to remain composed during busy periods. Willingness to actively follow up with leads and support appointment-booking goals. Preferred Qualifications Experience in a medical spa, healthcare office, hospitality, or a busy reception environment. Familiarity with Zenoti, Acuity, or similar scheduling systems. Experience with sales, lead follow-up, or client retention. Social media and content creation skills are a plus.
