Scheduling Coordinator and Professional Assistant Carmon Funeral Homes Windsor, CT Job Details Part-time $20 - $22 an hour 6 hours ago Benefits Flexible schedule Qualifications Teamwork High school diploma or GED Team development Attention to detail Recruiting Full Job Description Position Summary The Scheduling Coordinator is responsible for the training and scheduling staffing and logistical support for funeral services, visitations, memorial services, and special events. This position oversees the scheduling and deployment of professional assistants, coordinates vehicle assignments, ensures adequate staffing coverage, and provides direct support during funeral services as needed. The Coordinator serves as a key component to ensuring the funeral home's services are adequately staffed with both full-time and part-time assistants while maintaining high standards of professionalism, service, and family care. Essential Duties and Responsibilities Staff Scheduling and Coordination Monitor scheduled services for funeral services, visitations, memorial services, and related events and ensure staffing needs are known and filled timely. Assign professional assistants and support staff to services based on staffing needs, experience, and availability. Manage last-minute schedule adjustments and staffing changes. Communicate schedules and service assignments clearly and timely to all staff members. Vehicle and Equipment Coordination Assign funeral cars (Hearses, limousines, service vehicles, and support vehicles) to services as needed coordinating with facilities staff to ensure vehicles are clean and available. Monitor vehicle utilization and communicate maintenance concerns when identified to facilities staff. Ensure all service-related equipment and resources are available, and properly assigned. Leadership and Staff Oversight Provide direct supervision and oversight of full-time funeral assistants. Assist with the recruitment, interviewing, hiring, and onboarding, and manage the training of part-time professional assistants. Conduct orientation and ongoing training to ensure staff understand service expectations and operational procedures. Monitor employee performance and provide coaching, guidance, and performance feedback. Promote a culture of professionalism, teamwork, accountability, and exceptional family service. Service Operations Support Assist with funeral services, visitations, memorial gatherings, and processions as needs require. Support funeral directors in delivering exceptional service experiences. Address challenges and staffing issues with professional assistants in real time. Administrative Responsibilities Maintain accurate staffing records and scheduling documentation. Track employee availability, and staffing needs. Assist with payroll-related reporting as required. Support continuous improvement efforts related to scheduling, and staffing efficiency. Weekend and Holiday Coverage Participate and support Saturday morning funeral services Maintain flexibility to work evenings, weekends, and holidays based on service schedules and business demands. Ensure staffing plans are in place for weekend and holiday services. Qualifications Education and Experience High school diploma or equivalent required. Associate's or Bachelor's degree in a related field preferred. Previous funeral home, hospitality, event management, logistics, scheduling, or operations experience preferred. Prior supervisory or leadership experience strongly preferred. Skills and Abilities Strong organizational and scheduling abilities. Exceptional communication and interpersonal skills. Ability to lead and manage teams effectively. Strong problem-solving and decision-making skills. Proficiency with scheduling software and Microsoft Office Strong attention to detail and follow-through. Professional appearance and demeanor. Ability to maintain confidentiality and professionalism in sensitive situations. Physical Requirements Ability to stand and walk for extended periods during services. Ability to lift, move, and transport service-related equipment when necessary. Ability to work indoors and outdoors in varying weather conditions. Ability to assist with funeral and memorial service operations as needed. Ability to work on Saturdays Work Environment This position works in a funeral home environment and regularly interacts with funeral directors, support staff, clergy, and families. The role requires flexibility, responsiveness, and a commitment to providing dignified and professional service while managing the operational needs of the funeral home. The Scheduling Coordinator plays a critical role in ensuring that every service is properly staffed, equipped, and executed with excellence while supporting the development and success of the funeral home's professional assistant team.
