Administrative Assistant Equine Veterinary Front Office 4747 SW 60th Avenue, Ocala, FL 34474 From $17 an hour - Full-time From $17 an hour - Full-time Description Peterson & Smith Equine Hospital + Complete Care has an immediate opening for a Front Desk Administrative Assistant to join our team. We are a large equine veterinarian practice dedicated to fostering exceptional client relationships through our unsurpassed patient care since 1981. Our new team members must share our passion for horses. We are looking for an energetic and personable individual to provide general clerical and administrative support to our veterinarians. The successful candidate must be able to work in a fast-paced environment while completing several competing tasks expeditiously. The ideal candidate must be a quick learner who is flexible and can easily adapt to change. A commitment to accuracy and attention to detail, along with excellent communication skills are necessary to succeed in this position. This is a full-time position which requires some Saturday hours. Knowledge of equine and/or medical terminology is helpful and preferred in this position. Responsibilities Answer multiple phone lines in a fast paced and busy environment while projecting a welcoming tone. Provide general administration and clerical support to the veterinarians such as preparing and sending client correspondence, preparing reports and documents, creating schedules, making copies, scanning documents, ordering supplies, preparing FedEx shipping labels and other miscellaneous clerical duties. Accurately generate invoices for services and medications. Contact clients via phone and email to collect COD at time-of-service payments. Cross train to assist with patient admission and discharge; chart preparation; scheduling hospital appointments and payment processing. Assist with the preparation of export paperwork according to international export guidelines. Prepare insurance exam documentation and paperwork; file insurance claim forms. Prepare required documents for sales, labs, radiographs, culture certificates and barren mare slips for the veterinarians and clients. Schedule and process paperwork for completed pre-purchase exams. Dispatch ambulatory veterinarians to emergency calls or appointments based on geographical area. Create client and patient files. Process completed Coggins forms by properly logging and filing the forms; coordinate any needed corrections with the lab; provide certified copies to the appropriate parties. Prepare health certificates in accordance with all applicable state and track requirements; file completed forms. Create new client and patient accounts in the data management system. Requirements General computer knowledge and proficiency in all Microsoft Office programs with the aptitude to learn a variety of different computer programs. Effectively communicate in a professional manner, both verbally and in writing. Ability to enter data accurately into computer software. Capable of working quickly and efficiently in a fast-paced environment; must be detail oriented with a commitment to accuracy and possess a strong work ethic with the ability to maintain confidentiality. Extraordinary customer service skills with the ability to diplomatically handle client concerns. A strong team mentality that supports proactively assisting other staff members.
