Practice Manager / Hospital Leadership Position Summary The Veterinary Receptionist is the first point of contact for clients and plays an essential role in creating a welcoming, professional, and compassionate experience for pets and their owners. This position is responsible for providing excellent customer service, managing client communication, scheduling appointments, processing payments, and supporting the veterinary team with daily hospital operations. Essential Duties & Responsibilities Client Service & Communication Greet clients and their pets in a friendly, professional, and compassionate manner. Answer incoming phone calls, respond to client questions, and provide accurate information regarding hospital policies, services, and appointments. Communicate effectively with clients regarding patient care instructions, medication refills, estimates, medical records, and follow-up needs. Handle client concerns professionally and escalate issues to management when appropriate. Maintain confidentiality of client and patient information. Appointment Scheduling & Front Desk Operations Schedule appointments based on patient needs, doctor availability, and hospital workflow. Confirm appointments and assist with appointment reminders. Check clients and patients in and out efficiently. Obtain and update client information, patient records, vaccination history, and contact details. Assist with managing the daily appointment schedule to maintain an organized flow. Financial & Administrative Responsibilities Process payments accurately and provide invoices and receipts. Discuss estimates, invoices, and payment policies with clients. Assist with account updates, deposits, and client financial questions. Maintain accurate documentation within the practice management system. Patient Care Support Assist veterinary technicians and doctors by helping coordinate patient flow. Communicate messages between clients and medical staff. Prepare medical records and paperwork for appointments, procedures, and discharges. Assist with prescription requests and pharmacy communication. Maintain a clean, organized, and welcoming reception area. Hospital Support Follow all hospital policies and procedures. Assist with opening and closing duties as assigned. Maintain professional communication with team members. Support a positive teamwork environment focused on excellent patient care and client service. Qualifications & Skills Previous customer service, receptionist, or veterinary/medical office experience preferred. Strong communication and interpersonal skills. Ability to multitask in a fast-paced environment. Excellent organization and attention to detail. Comfortable handling difficult conversations with professionalism. Ability to work collaboratively with doctors, technicians, assistants, and other team members. Basic computer skills and ability to learn veterinary practice software. Compassion for animals and commitment to quality patient care. Physical Requirements Ability to stand, sit, walk, and move throughout the hospital during shifts. Ability to lift and carry supplies or small animals when needed. Ability to work around animals that may be nervous, sick, or injured. Schedule Part-time position. Schedule may include weekdays, evenings, and/or Saturdays based on hospital needs.
