Job Description

Monson Animal Clinic Job Description for Receptionist The receptionist is responsible for first communications between Monson Animal Clinic and our clients. In the conduct of this job he/she is expected to be polite, courteous, and friendly, and to assist our clients to the best of his/her ability. All appointments begin and end at the reception area, and thus this employee must coordinate with the exam room technicians to ensure that all clients are given the correct medications and materials they need at the time of discharge.



Requirements for this position: High School Diploma or G.E.D.; The ability to follow directions with and without supervision; The ability to communicate clearly and politely over the phone or by email; The ability to learn and understand medical terminology and procedures; The ability to ask questions when a task is unclear; The ability to work effectively in an active and busy environment; The ability to multitask efficiently; The ability to work with computers, printers, and other office equipment; The ability to spell, alphabetize, and perform basic mathematics (such as converting between kilograms and pounds); and The ability to provide exceptional customer service.

Persons to report to:

Lead Technician, Practice Manager, and Doctor(s).Customer Service Responsibilities - Expected to... Answer phones and take messages for the appropriate staff member; Give minor client education (puppy/kitten, nail trim, heartworm talks, medication); Invoice and discharge clients; Verify client information - Phone number(s), home and mailing addresses, etc.; Properly record medical notes and communication details in patient records; Possess knowledge of practice management software and any auxiliary systems; Fill some product orders, as needed; Prepare Rabies, health and other certificates for clients; Assist clients with large purchases; Provide information for over-the-counter and nutritional products; and Maintain an attitude of compassion, sympathy and professionalism during high-stress situations. Hospital Cleanliness Responsibilities - Expected to… Keep reception area clean and organized; Alert support staff when reception area needs to be swept or mopped; Perform some light cleaning of reception area, exam hallway, or examination room(s) when other staff are unavailable; Empty reception area refuse collection cans as needed;

Emergency Situations:

During an emergency situation, the receptionist's job is to promptly alert the responsible technicians before returning to the reception area to resume his/her job. If needed, the receptionist may be asked to reschedule appointments so that the medical staff can respond to the emergency.
