Job Description

Summary of Position:
Under the direction of the Director of Operations for Blue Ridge Academy, the Records Specialist will collect, evaluate, maintain, and organize the cumulative files records for general education students, in addition to technical and operational duties involved in the maintenance of school records.
Duties and Responsibilities:
I. Responsibilities to school and staff A. Attends all required meetings and trainings B. Completes all work thoroughly C. Manages time effectively to meet all necessary deadlines D. House, file, maintain student records (CUME's) in addition to end of year CUME cleanup and forwarding withdrawn student CUMEs that have not been requested to school listed on CalPads E. Maintain, update, verify, confirm, process withdrawal survey and follow up with parents and attending schools upon withdrawal F. Provide student information/student records to Law Offices, Law Enforcement Agencies, and Probation Departments as requested G. Prepares and maintains a variety of records and reports as needed for the purpose of complying with the state mandated reporting requirements H. Maintains assigned project control files (e.g., research, completion, etc.) for the purpose of ensuring compliance with mandatory due dates A. Response to all calls and emails in a timely manner. Expectation is 24 business hours. I. Maintain confidentiality of information J. May be on the computer for up to 8 hours per day II. Responsibilities to department A. Attend regularly scheduled meetings B. Ability to multi-task and work effectively in teams as well as independently C. Detail-oriented with the ability to maintain professional under pressure D. Team player with positive, flexible attitude, integrity, and strong interpersonal skills E. Self-motivated and tasks initiative to solve problems F. Ability to communicate customer friendly messaging as needed via email or telephone III. Mission and Vision A. Promotes Blue Ridge Academy's mission & vision statements and core values B. Follows and supports all Blue Ridge policies and procedures C. Maintains positive attitude IV. Other duties as assigned Qualifications
  • One or more years of administrative or technical support experience
  • Ability and comfort in working in a fast-paced, virtual environment, with a demonstrated ability and desire to flexibility shift responsibilities over time as the role and department evolve.
  • Excellent analytical and data-based decision making skills
  • Strong customer service orientation in approach to working with teachers, school administrators and families.
  • Proficient keyboarding and file maintenance skills
  • Strong organizational, communication, and interpersonal skills
Preferred Qualifications:
  • Working knowledge of technology and technological platforms including but not limited to: Google Suite (Gmail, Excel, Google Docs/Word, Google Forms), Microsoft OS platform.
  • Professional etiquette with regards to technology use.
  • Excellent written and oral communication skills.
  • Experience working in virtual education settings.
  • Demonstrate the ability to work effectively as a team member, work independently, and be self-motivated.
  • Demonstrate the ability to quickly grasp new techniques, deal with rapid changes and events, and remain calm in stressful situations.
  • Promote a positive atmosphere.
  • Demonstrate flexibility in the workplace.
Education:
  • Associate degree required or

The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and peripheral vision. Specific hearing abilities are required by this job. Keyboarding and/or phone use up to 8 hours per day may be required.
