This role is crucial for maintaining organized records and supporting efficient office operations. The ideal candidate will support our commitment to exceptional service by maintaining accurate job files, responding promptly to customer needs, and fostering a productive, collaborative work environment. Responsibilities Ensure daily accuracy of job file documentation. Coordinate with Production crews to capture required onsite documentation. Create and review estimates using scope and photos. Maintain an up-to-date Work in Progress board. Ensure all client requirements are met. Communicate with internal and external stakeholders. Review data for accurate KPM reporting. Finalize and upload job documentation for audit. Audit projects to ensure estimates reflect all completed work. Coordinate job close-out and invoicing with accounting. Promptly enter lead calls and job referrals (FNOL) with accuracy. Deliver excellent customer service via phone and in-person interactions. Answer general calls and greet office visitors professionally. Regularly review the Work in Progress (WIP) board to identify trends or areas for improvement. Collaborate with teams to coordinate the production and on-call schedules. Monitor job progress to ensure smooth operations and customer satisfaction. Requirements Proven experience in an office environment or a related field is a MUST. Strong computer literacy skills, including proficiency in office software is a MUST. Excellent organizational skills with attention to detail. Ability to manage multiple tasks effectively in a fast-paced environment.
