Job Description

Growing multi-state investigation and insurance adjusting firm serving New York, New Jersey, and Connecticut is seeking a highly organized, detail-oriented, and motivated professional to support four Senior Investigators in a fast-paced environment.
Position Overview:
This role is critical to the daily operations of our firm and will serve as the primary administrative and investigative support assistant to a team of four investigators. The ideal candidate must be professional, proactive, computer savvy, and capable of managing multiple priorities independently.
Key Responsibilities:
1. Answer and direct incoming phone calls professionally 2. Schedule appointments and coordinate multiple investigator calendars 3. Confirm appointments and assignments one day prior 4. Prepare statement outlines and investigative support documents 5. Update and maintain activity logs, case files, and internal tracking systems 6. Monitor, verify, and calendar all upcoming arbitrations, hearings, and trial dates 7. Assist investigators with daily tasks, case preparation, and junior investigator responsibilities 8. Support operational workflow across New York, New Jersey, and Connecticut assignments
Qualifications:
  • Fluent communication skills (verbal and written)
  • Excellent organizational and multitasking abilities
  • Ability to work independently and efficiently under deadlines
  • Strong attention to detail and follow-through
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Advanced working knowledge of Microsoft Outlook (email/calendar management)
  • Strong computer and typing skills
  • Professional demeanor with excellent phone etiquette
Preferred :
  • Prior experience in insurance, legal, investigative, claims, or administrative support environments
  • Experience coordinating calendars, legal deadlines, arbitrations, or trial schedules is a plus
