Essential Job Functions:
This is an entry-level clerical position performing case processing duties and responsibilities daily which entails a high volume of data entry work for specialized units within the District Court. This position will have specific and measured assigned duties.Essential Duties and Responsibilities:
Verify documents completed by parties are complete, accurate, and in detail. Answer all questions the parties may have about the domestic violence process without giving legal advice. Enter and process all Domestic Violence and Peace Order cases in DV Office and create file into Odyssey. Scan and link all documents in Peace Order and Domestic Violence cases to enter into the electronic system. Review, accept, and task paperwork that is submitted in File & Serve. Scan in paperwork that is received over the counter and task to appropriate queue Process papers once hearing is held. Verify information was entered correctly. Give paperwork to any/all parties such as petitioner, respondent, police department, DSS, Warrant Control, etc. in a timely manner. E-File back to police for service. Assist the public, attorneys and court personnel in person or on the phone responding to inquiries regarding the proper completion of various court related forms and provide information regarding court policies and procedures. Pull files and make copies for the public. Schedule hearings and enter information in DV Office that is required. Verify all documents have sent through Odyssey properly. Transfer cases to other Districts and Circuit Court when required. Verify that all paperwork has been transferred correctly. Assist with other departments such as criminal, traffic, rent and civil. All other duties as assigned.Minimum Qualifications:
Education:
High school diploma (or GED equivalent).Experience:
One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.Note:
A Bachelor?s Degree may substitute the required work experience. A Paralegal/Associates Degree or 60 college credits may substitute the required work experience. A Paralegal Certificate may substitute the required work experience.Knowledge, Skills, and Abilities:
Knowledge of:
General office practices, procedures, and equipment. Standard legal forms and documents used in the Judiciary. Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.Skill in:
Customer service and handling problems tactfully and patiently. Typing on a personal computer. Accuracy and attention to detail.Ability to:
Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc. Use and maintain alphabetical and numerical filing systems. Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing. Understand and abide by departmental rules, regulations, and procedures. Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys. Follow procedures, verbal and written instructions, and protocols for any given assignment. Use proper grammar, punctuation and spelling. Exercise independent judgement in interpreting and applying appropriate policy, procedure, rule, law, and/or regulation to a situation.Physical Requirements:
Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.Equipment, Machinery and Tools:
