Job Description

Job Summary The Shelter Services Coordinator is the first point of contact for visitors and plays a key role in ensuring smooth daily operations at the front desk. This position supports the shelter's mission by welcoming guests, managing administrative tasks, coordinating adoptions and intakes, and overseeing the foster and volunteer programs. The ideal candidate is highly organized, compassionate, and excels in customer service while balancing multiple responsibilities in a fast-paced environment. Responsibilities Key Responsibilities Front Desk & Customer Service Greet and assist visitors in a welcoming, professional manner Answer phones, return voicemails, and respond to emails in a timely fashion Provide accurate information on adoptions, lost and found pets, animal surrenders, and shelter services Maintain accurate records of inquiries, adoptions, and animal intakes Adoptions & Animal Intake Manage adoption applications, including reference checks, landlord/vet contacts, and approvals/denials Facilitate animal surrenders and coordinate with the Shelter Manager for placement Help maintain vaccination, CVI forms, and medical records for all animals Schedule veterinary appointments as needed Provide adoption counseling to ensure successful matches Volunteer & Foster Program Coordination Recruit, train, and orient new volunteers and foster caregivers Provide ongoing communication, scheduling, and support to volunteers and fosters Maintain updated records of volunteer hours, foster placements, and program activities Ensure volunteers follow shelter procedures and provide retraining or feedback when necessary Administrative & Shelter Support Assist with adoption events, fundraising, and community outreach activities Run shelter-related errands as needed using the shelter vehicle Provide backup assistance to animal care staff when necessary (may include cleaning, feeding, or handling animals) Participate in staff meetings and interdepartmental communication Qualifications Previous supervising experience in a shelter or similar environment is preferred. Strong crisis intervention skills with the ability to remain calm under pressure. High school diploma or equivalent required; additional education or training in animal welfare or customer service preferred Minimum 1-2 years of customer service, office administration, or shelter experience Strong communication, organizational, and multitasking skills Ability to remain calm and professional in high-stress situations; skilled in conflict resolution Comfortable handling cats, dogs, and small animals of varying temperaments Ability to lift and carry up to 50 lbs and work in noisy, fast-paced environments Proficiency in basic computer software and data entry; experience with shelter software a plus Valid driver's license required Commitment to the mission and values of animal welfare
