Our Loss & Recovery Department plays a critical role in safeguarding patients' cases when a law firm withdraws representation. The department's mission is to recover and re-engage lost cases, confirm new representation, verify insurance coverage, and ensure each patient's case remains active and moving toward resolution. We are the connection point that keeps the process alive. Bridging communication between patients, attorneys, and insurers to restore continuity, protect medical interests, and support successful outcomes. Position Overview The Loss & Recovery Specialist is responsible for managing and recovering cases impacted by law firm withdrawals. This position requires strong communication, persistence, and attention to detail. You'll serve as the primary liaison between patients, attorneys, and insurance providers — ensuring each case transitions smoothly back into active management. This is a key operational role within the company, combining investigative follow-up, case tracking, and relationship management. The ideal candidate is self-motivated, highly organized, and passionate about helping patients maintain progress toward resolution.
Key Responsibilities Case Recovery & Processing:
Review and process attorney withdrawal letters promptly. Update all internal systems (Master Sheet, CRM, and patient records) to ensure data accuracy and visibility across departments.
Patient Communication & Coordination:
Contact patients to explain the withdrawal process, confirm new legal representation, and verify active insurance coverage (including Med Pay, PIP, or other applicable coverage).
Insurance Verification & Documentation:
Request and collect police reports, insurance declarations, or other supporting documentation directly from patients or legal representatives.
Detailed Case Tracking:
Maintain comprehensive documentation of all communications and activities. Regularly update case notes, ensuring all team members have real-time insight into recovery progress.
Reporting & Accountability:
Generate weekly and monthly reports summarizing recovered cases, pending follow-ups, and overall department performance. Provide insights to management for process improvement.
Collaboration & Case Handoff:
Work closely with the Reductions Department to transition recovered cases into lien reduction or billing phases, ensuring a seamless and timely handoff.
Follow-Up & Escalation:
Proactively monitor pending items and initiate follow-ups with law firms, patients, or insurance representatives to prevent case stagnation. Escalate complex or unresponsive cases to leadership when necessary.
Compliance & Confidentiality:
Adhere to HIPAA standards and internal data handling policies. Maintain professionalism and discretion when dealing with sensitive information.
Skills & Qualifications Experience:
1+ year in personal injury case management, legal support, insurance claims, or healthcare administration preferred.
Communication:
Exceptional verbal and written communication skills; able to navigate complex conversations with professionalism and empathy.
Organization:
Strong ability to manage multiple active cases, track deadlines, and prioritize tasks in a fast-paced environment.
Analytical Skills:
Capable of identifying gaps in information, interpreting case details, and proposing next steps.
Persistence:
Driven to follow through on every case, ensuring all recovery opportunities are explored and completed.
