SUMMARY:
This is clerical position in the Magisterial District Court System of the Allegheny County Court of Common Pleas 5th Judicial District. Employee is staff of Administrative Office assigned to District Courts. Responsibilities include performing general secretarial, clerical, data entry, routine reporting, and bookkeeping duties for a Magisterial District Court. There is extensive public contact. Assignments generally follow routine procedures, although the Magisterial District Court Judge, Secretary or Court Administration may give specific directions. Assignments may or may not be reviewed upon completion. Work involves some initiative and independent judgment and is carried out under supervision by the Magisterial District Judge, Secretary, and Court Administration in accordance with established policies and procedures.
QUALIFICATION REQUIREMENTS
High School diploma or equivalent Ability to Keyboard 35 words per minute with accuracy Ability to pass clerical test administered by Court Administration Knowledge of personal computer and general office equipment Ability to interact and communicate appropriately with court officials, the public and various legal practitioners Ability to learn how to use the MDJS computer system, Microsoft Word and other computer programs
ESSENTIAL DUTIES & RESPONSIBILITIES
Follows the procedures of the Magisterial District Judges Automated Office Clerical Procedures Follows policies and procedures employed by the Fifth Judicial District Performs all accounting functions, including reconciling checking account Represents the MDJ as required Runs monthly reports, checking them, correcting anomalies, and presenting to MDJ Dockets cases Maintains court records Processes and distributes paperwork attendant to court matters Provides assistance at court proceedings Assists the court's users by telephone, email or the public counter Prepares paperwork, accepting money and distributing paperwork for marriages Accepts PFA submissions and processes Indirect Criminal Complaints Arranges for court interpreter services and disability accommodations Schedules court matters Performs data entry Prepares and maintains case files and folders Completes reports pertaining to cases and dispositions Accepts money for the court; issuing receipts, preparing deposit slips, making deposits, preparing checks Issues warrants Accepts and processes fee bills from process servers Employees must be crossed trained in all aspects of court policies and procedures by the one (1) year anniversary of their hire date.
