Job Description

Position:
Documentation Control Specialist needed for a small manufacturer of custom-designed military and aerospace power supplies supporting long-term, high-reliability defense programs. The Documentation Control Specialist is responsible for maintaining controlled documents, records, and data required to support engineering, manufacturing, quality, and regulatory compliance activities. This role ensures document accuracy, revision control, traceability, and timely distribution in accordance with internal procedures and applicable military and aerospace standards. Work Duties /
Responsibilities:
1. Maintain and control all company documents including engineering drawings, specifications, procedures, work instructions, test procedures, travelers, inspection reports, and quality records. 2. Manage document revision control, ensuring only current, approved revisions are released for use in Engineering, Manufacturing, Test, and Quality. 3. Coordinate document reviews, approvals, releases, and obsolescence with Engineering, Quality, Manufacturing, and Program Management. 4. Ensure proper configuration control of documents associated with military and aerospace contracts. 5. Create, format, and maintain document templates to ensure consistency with company and customer requirements. 6. Distribute controlled documents to appropriate departments and external partners as required, ensuring acknowledgment of changes when necessary. 7. Maintain electronic and/or hardcopy document filing systems in accordance with Quality Management System (QMS) requirements. 8. Track and archive historical document revisions and records to ensure full product traceability. 9. Support internal and external audits (customer, ISO, AS, or military audits) by retrieving and presenting controlled documentation and records. 10. Ensure manufacturing travelers, test data sheets, inspection reports, and non-conformance reports are properly completed, collected, and retained. 11. Assist Quality and Engineering with document changes resulting from ECOs, deviations, waivers, and corrective actions. 12. Monitor document control metrics and report status, issues, or risks to the Quality Manager as required. 13. Ensure compliance with applicable standards such as
ISO 9001, AS9100, MIL-STD
requirements, IPC standards, and customer-specific documentation requirements.
Required Technical Skills:
1. Ability to read and understand engineering drawings, schematics, bills of material (BOMs), procedures, and specifications. 2. Familiarity with document control principles, configuration management, and revision control in a regulated manufacturing environment. 3. Understanding of manufacturing, inspection, and test documentation for electronic assemblies and power supply systems. 4. Ability to accurately track serial numbers, lot numbers, and traceability records. 5. Knowledge of basic quality system documentation such as procedures, work instructions, forms, and records.
Required Non-Technical Skills:
1. Strong organizational and attention-to-detail skills with the ability to manage multiple documents and priorities. 2. Proficient with Microsoft Word, Excel, and file management systems; ability to read and manage Adobe Acrobat (PDF) files. 3. Clear written and verbal communication skills. 4. Ability to collaborate effectively with Engineering, Manufacturing, Test, and Quality teams. 5. Ability to work independently under general supervision and meet deadlines.
Required Qualifications, Education, and Experience:
1. Minimum 2 years of experience in document control, quality administration, or technical documentation in a manufacturing environment. Experience in defense, aerospace, electronics, or power supply manufacturing strongly preferred. 2. High school diploma or equivalent required; associate degree or technical coursework preferred. 3. Familiarity with ISO 9001 and/or AS9100 quality systems preferred. 4. Experience supporting audits and working within controlled quality systems preferred.
Training:
1. Ability to participate in internal training related to company products, quality system requirements, document control procedures, and applicable military/aerospace standards.
