WHAT WE NEED
Supply Chain Document Coordinator The Supply Chain Document Coordinator manages and maintains supply chain documentation and vendor data submittals, ensuring compliance, accurate records, and smooth communication with project teams and vendors. Key tasks include document tracking, data entry, quality checks, and supporting audits or process improvements.
Responsibilities:
Provide quality assurance for all internally developed externally bound document transmittals. Frequent contact with clients, vendors, and project team for information needs on specific projects. Support Project Expeditor(s) with tracking and ensuring timely submittals of required vendor documentation for each purchase order. Responsible for receiving and tracking vendor documents through internal/external reviews and logging all documents received and returned. Manage vendor document database and drawing storage. Adhere to all procedures and specifications governing the vendor document control process, including but not limited to, document control procedure, document numbering specification, and other documentation defining the Vendor Document Control framework on any given project. Compile final data books and vendor document turnover for project closeout. Manage all electronic correspondence of documents for each project to/from our vendors. Participate in cross-discipline engineering checks (requirements and use) and discipline approval processes in accordance with our internal procedures. Collect, organize, and maintain supplier quality data, including non-conformances, corrective actions, and inspection reports. Support the creation and management of quality reports for internal teams and management. Assist Supplier Quality Surveillance Manager in updating and tracking internal work processes, client deliverables, invoices, and work instructions. Assist with Supply Chain Management project setup, proposals, and project budgets. Assist Supply Chain Management Department in scheduling supplier meetings, populating meetings agendas, and tracking Inspector assignments and shop visits
WHO WE NEED
Document Control or Project Administration experience in the industrial consulting engineering industry is preferred but not required. Extreme attention to detail. Excellent listening and communication skills, both verbal and written. Requires self-motivation and ability to complete projects with strict deadlines. Must be able to work in a fast-paced environment. Requires the ability to coordinate multiple projects simultaneously. May require intricate data entry/clerical responsibilities. Proficient in Microsoft 365 (Outlook, Excel, Word, Teams, etc.) Experience with Bluebeam Revu, Bluebeam Projects, SharePoint, and Adobe, is preferred.
