Start Date:
ASAP (Targeting start within approximately two weeks) Position Overview We are seeking a detail-oriented HR Records Clerk / Document Scanning Specialist to support a large-scale Human Resources records digitization project at Our Lady of Fatima Hospital. This role is responsible for scanning, organizing, indexing, and maintaining confidential employee personnel records as part of a project involving more than 1,000 employee files. The ideal candidate will have experience with document scanning, electronic records management, and handling sensitive information with a high degree of accuracy and confidentiality. Experience using DocuSign is required. This is a full-time, onsite contract position with the potential for extension based on project needs and performance. Key Responsibilities Scan and digitize paper employee personnel files and HR documentation. Review scanned records to ensure accuracy, completeness, and image quality. Name, organize, and upload electronic files using employee ID numbers and established file naming conventions. Upload, manage, and maintain documents within DocuSign and designated electronic filing systems. Organize and index records to support efficient retrieval and compliance with records management standards. Assist with data validation and record integrity initiatives. Maintain strict confidentiality of employee and organizational information. Support document retention and records management processes. Collaborate with HR leadership to ensure project milestones and deadlines are achieved. Perform additional administrative, clerical, and records management duties as assigned. Required Qualifications Education High School Diploma or GED required. Experience Minimum of 1 year of administrative, clerical, records management, document scanning, or related experience required. Experience using DocuSign is required. Experience handling confidential documents and sensitive information strongly preferred. Previous Human Resources support experience is a plus. Technical Skills Microsoft Office Suite (Outlook, Word, Excel) Document scanning and imaging equipment Electronic document management systems DocuSign Data entry and document indexing Additional Requirements Strong organizational and time-management skills. Exceptional attention to detail and commitment to accuracy. Ability to maintain confidentiality and safeguard sensitive employee information. Ability to perform repetitive tasks while maintaining high quality standards. Ability to meet deadlines and manage priorities in a fast-paced project environment. Strong communication and teamwork skills.
Pay:
$20.00 - $21.00 per hour
