Job Description

​The Construction Associate provides administrative and documentation support to the Construction Manager throughout the execution of construction projects. This is a desk-based, office-centered role focused on maintaining accurate project records, tracking schedules and submittals, and coordinating communication among contractors, vendors, and internal teams. This role does not involve field supervision or oversight of construction activities; it supports the team responsible for that oversight. Key Responsibilities Maintain and organize project documentation, including daily reports, RFIs, submittals, change orders, and photographic progress records. Track construction schedules and budgets under the direction of the Construction Manager; identify discrepancies for review. Prepare and distribute meeting minutes and action items for weekly construction meetings. Support pre-construction procurement activities, including organizing RFP documentation, bid packages, and contractor/vendor files. Assist in compiling permitting, environmental, and regulatory compliance documentation. Coordinate document exchange and communication among contractors, subcontractors, vendors, and internal teams, including engineering, procurement, and legal. Maintain document control systems (e.g., Procore, SharePoint, or similar platforms). Compile project progress reports and dashboards for management review. Provide administrative support during commissioning activities and project closeout documentation. Perform additional duties as assigned to support overall project and business operations. Qualifications Bachelor's degree in Construction Management, Engineering, or a related field. Equivalent experience will be considered. 2-5 years of experience in construction administration, document control, or project coordination. Experience supporting large-scale infrastructure, industrial, energy, or commercial construction projects is preferred. Familiarity with construction documentation, including RFIs, submittals, and change orders. Experience with scheduling tools such as Microsoft Project or Primavera P6 is a plus. Proficiency in Microsoft Office Suite (particularly Excel and Word) and document management platforms such as Procore or SharePoint. Strong written and verbal communication skills. Excellent organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment. Ability to travel to project sites as required.
