Job Description
We are a growing rural land real estate company looking to add a key member to our team! We are seeking a highly organized, detail-oriented professional to join us as a Title & Document Control Specialist. This position plays a critical role in supporting our Investor Relations, Title & Recordings, and Acquisitions departments by ensuring accurate documentation, coordinating property and loan transactions, maintaining investor records, and facilitating successful closings. The ideal candidate thrives in a collaborative environment, manages multiple priorities with ease, and consistently produces accurate, high-quality work. Experience in real estate, title, escrow, lending, transaction coordination, or closing documentation is strongly preferred. In this role, you will oversee the preparation, organization, and processing of documents related to real estate transactions, including Warranty Deeds, Trust Deeds, Truth in Lending disclosures, Quit Claim Deeds, closing packages, and other legal documents. This is a vital position within our company, playing a key role in ensuring efficient operations and successful transactions. The ideal candidate possesses excellent communication skills, is comfortable using a variety of computer applications, and enjoys working with both internal teams and customers.
Responsibilities:
Prepare weekly ACH sweeps to investor accounts. Communicate with investors regarding borrower payments and account activity. Maintain accurate investor trust account records. Prepare and process in-house note sale and note swap documentation. Review note sale and swap documents for accuracy and completeness, ensuring documents are properly signed, notarized, and returned in a timely manner. Coordinate investor payoffs and ensure reconveyances are completed and received. Maintain reports tracking investor-owned notes and company-owned notes. Update internal banking and loan servicing systems following note sales and swaps. Prepare and send borrower notifications regarding note sales. Oversee recording of real estate documents. Prepare and review reconveyances, substitutions of trustee, notices of default, and other title-related documentation. Monitor delinquent accounts and foreclosure activity. Research public records to verify ownership, title, and recording information. Supervise closing transactions and review closing documentation for accuracy. Work closely with the Loan Servicing Department to resolve title and documentation issues. Collaborate with legal counsel to resolve title matters and ensure notes are eligible for investor sale. Maintain master inventory records for recently sold properties. Maintain electronic and physical records for newly acquired properties. Assist the Development and Acquisitions Department with contracts, closing documents, recordings, and transaction coordination. Review title reports and closing documents prior to execution. Coordinate funding transfers to ensure acquisition purchases close on schedule. Communicate regularly with ownership and senior leadership regarding funding needs and transaction status. Provide exceptional internal and external customer service while supporting multiple departments. Assist with special projects and other administrative duties as assigned.
Qualifications:
Experience in title, escrow, real estate transactions, lending, loan servicing, or a related field is preferred. Strong knowledge of real estate documentation and closing processes is highly desirable. Excellent written and verbal communication skills. Exceptional organizational skills with strong attention to detail. Ability to prioritize multiple projects and consistently meet deadlines. Strong analytical and problem-solving abilities. Ability to work independently while collaborating effectively with multiple departments. Proficient with Microsoft Office and the ability to learn company software systems. Professional demeanor with a high degree of integrity and confidentiality. Ability to maintain accurate records and documentation.
