- A Bilingual Intake Specialist plays a critical role in a law firm, serving as the initial point of contact for potential clients who may require legal assistance.
This position requires fluency in both Spanish and English to effectively communicate with a diverse client base. The primary responsibility of the Bilingual Intake Specialist is to gather essential information from clients, assess the nature of their legal needs, and facilitate the intake process. We are looking for people with experience who know which cases should be assigned vs those that we should not accept.

Key Responsibilities:
Client Communication :
Professionally and empathetically communicate with potential clients in both Spanish and English through various channels, such as phone calls, emails, and in-person meetings. Act as the first point of contact for clients seeking legal assistance, ensuring their questions and concerns are addressed promptly and respectfully.
Information Gathering :
Collect detailed information from clients about their legal issues, including personal and case-related details, such as names, contact information, case descriptions, and timelines. Document all client interactions accurately and maintain comprehensive records.
Case Assessment :
Evaluate the initial information provided by clients to determine the nature and urgency of their legal needs. Determine if the potential clients' cases fall within the firm's areas of expertise.
Appointment Scheduling :
Schedule appointments for potential clients with attorneys or legal experts within the law firm, ensuring efficient and timely allocation of resources.
Follow-Up :
Conduct follow-up calls and emails to ensure clients have completed all required documentation and appointments.
Multilingual Assistance :
Assist clients in completing legal forms, documents, and contracts in both Spanish and English, as needed.
Data Entry and Reporting :
Accurately input client information and case details into the law firm's database or case management system. Generate reports and summaries to provide regular updates to the legal team.
Customer Service :
Provide excellent customer service to potential clients, addressing their concerns, answering general legal questions within your knowledge, and maintaining a high level of professionalism.
Legal Knowledge :
Stay informed about legal processes, case types, and the services provided by the law firm to better guide potential clients.
Qualifications:
Fluency in both Spanish and English (written and spoken) is essential. High school diploma or equivalent; bachelor's degree or legal-related education is a plus. Previous experience in customer service, client intake, or legal intake is preferred. Familiarity with legal terminology and processes is advantageous. Excellent communication and interpersonal skills. Strong organizational and data-entry skills. Proficiency in using office software and case management software.
