The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to providing exceptional client service. This position involves direct client interaction, document preparation, file management, and administrative support under the supervision of an attorney. Essential Duties and Responsibilities Client Communication and Support Communicate directly with clients, family members, financial advisors, healthcare professionals, fiduciaries, and other authorized representatives to gather information and supporting documentation. Respond to client inquiries, explain the purpose and function of legal documents as directed by the supervising attorney, and provide timely follow-up. Take detailed messages, relay information accurately, and assist in resolving client concerns or addressing errors when appropriate. Maintain professionalism, compassion, and confidentiality in all client interactions. Document Execution and Client Meetings Meet with clients to facilitate the execution of estate planning documents, including trusts, wills, powers of attorney, real property deeds, and beneficiary designations. Ensure documents are properly executed and organized. Communicate legal advice only as specifically instructed by the supervising attorney. File Management and Organization Create, organize, maintain, and update comprehensive client files. Assist clients with organizing and maintaining their estate planning document portfolios. Ensure strict confidentiality of all client information and records. Document Preparation and Legal Support Draft, proofread, edit, and revise legal documents, correspondence, and forms under the supervision of an attorney. Conduct occasional legal research as needed. Assist with preparation of estate planning and related legal documents. Case Management and Administrative Support Utilize case management and document management systems to maintain client contact information, matter status, supporting documents, and correspondence. Monitor deadlines, pending tasks, and case progress. Assess the urgency of matters and recommend appropriate actions. Keep clients and supervising attorneys informed regarding case status and outstanding items. Client Service and Professional Relationships Maintain positive working relationships with clients, family members, advisors, fiduciaries, and office personnel. Provide exceptional, timely, accurate, and compassionate service to enhance the overall client experience. Demonstrate excellent verbal and written communication skills and a professional demeanor. Qualifications Strong computer proficiency and technology skills required. Experience with the following software is preferred: Word Perfect Microsoft Outlook Excellent organizational, multitasking, and time management skills. Ability to work independently while maintaining attention to detail and accuracy. Strong interpersonal skills and a commitment to client service. Paralegal certification and/or an active California Notary Public commission is a plus. Hours Hours MTWTh 8-5, F 8-12
