Full Job Description About Us:
We are a fast-paced law firm focused on delivering high-quality legal services with professionalism and care. Our team values clear communication, strong client relationships, and efficient case handling. We are seeking a motivated, personable team member to serve as the first point of contact for prospective clients and help guide them through the intake process.
Position Overview:
The Client Intake Specialist is responsible for managing incoming inquiries, following up with prospective clients, and helping convert qualified leads into retained clients. This role requires strong communication skills, persistence in follow-up, and the ability to build trust quickly. This is not a legal advisor role. The position strictly involves administrative support and client intake coordination.
Key Responsibilities:
Answer incoming calls, texts, and emails from prospective and existing clients Conduct initial intake conversations using firm-approved scripts and procedures Follow up with leads consistently (phone, text, email) to move them through the intake process Schedule consultations and coordinate appointments Clearly explain next steps, fee structures (as directed), and onboarding procedures Maintain accurate and detailed records in the firm's case management system Track and manage leads to ensure no potential client falls through the cracks Coordinate with attorneys and staff to ensure smooth client onboarding Provide a welcoming, professional, and empathetic experience to all callers and visitors
Required Qualifications:
Bilingual (Spanish/English) A MUST 1+ years of experience in sales, customer service, intake, or call center roles (legal experience not required) Strong phone presence and ability to build rapport quickly Proven ability to follow up persistently and close opportunities (without being aggressive) Excellent communication skills (verbal and written) Highly organized with strong attention to detail Tech-savvy and comfortable learning new systems quickly Ability to multitask in a fast-paced environment Team-oriented with a positive attitude Preferred (Not Required): Experience in a law firm, medical office, or service-based business Experience with
MerusCase and RingCentral Pay:
$20.00 - $24.00 per hour
