In this vital role, you will serve as the first point of contact for prospective clients, efficiently gathering essential information and assessing initial case details across a wide range of legal practice areas. Your proactive approach and excellent communication skills will help streamline case intake processes, ensuring that each client receives prompt, professional service. This paid position offers an exciting opportunity to develop your legal administrative expertise while supporting diverse legal disciplines including estate planning, environmental law, immigration law, family law, securities law, and more. Responsibilities Conduct thorough interviews with prospective clients to gather case details and understand their legal needs across various practice areas such as estate planning, land use, immigration, family law, securities law, workers' compensation, personal injury, tribal law, patent law, and litigation. Assess initial case information to determine eligibility and prioritize cases based on urgency and complexity. Manage incoming inquiries via phone and email with professionalism and courtesy, ensuring clear communication and positive client experiences. Utilize legal case management systems such as PCLaw, iManage, LexisNexis, Westlaw, and Document Management Systems to accurately record client information and case details. Support the legal team by reviewing documents for accuracy, proofreading drafts, transcribing notes, and assisting with legal research as needed. Coordinate with attorneys and paralegals to facilitate smooth onboarding of new clients while maintaining confidentiality and data security standards. Maintain organized filing systems for legal documents and correspondence in compliance with firm policies. Provide administrative support including data entry, scheduling appointments, managing files, and handling clerical tasks with exceptional organizational skills. Experience Prior paralegal or legal administrative experience in a fast-paced law office environment is highly preferred. Demonstrated knowledge of diverse legal practice areas such as estate planning, environmental law, immigration law, family law, securities law, tribal regulations, patent law, workers' compensation law, personal injury law, UCC law (Uniform Commercial Code), and litigation procedures. Proficiency in legal research tools including LexisNexis and Westlaw is essential for effective case assessment. Experience with legal case management software like PCLaw or iManage enhances efficiency in document review and organization. Strong interviewing skills combined with excellent written communication abilities to draft clear summaries and reports. Exceptional organizational skills with the ability to manage multiple cases simultaneously while maintaining attention to detail. Knowledge of document review processes, proofreading standards, transcription techniques, contracts drafting support, and file management systems is advantageous.
