POSITION SUMMARY
The Office Support III position in the District Attorney's Office works closely with Assistant District Attorneys, County Detectives, and management staff to provide clerical and administrative support. Responsibilities include, but are not limited to, answering telephones, maintaining the case management system (PMS), preparing and generating reports, and drafting correspondence essential to court case processing. The role also involves performing a variety of general office support tasks as needed.
POSITION RESPONSIBILITIES
Essential Functions The duties and responsibilities of this position include, but are not necessarily limited to: Communicate daily with law enforcement, victims, witnesses, and partner agencies regarding case updates, including court appearance dates, key deadlines, and overall case status. Coordinate and schedule trial preparation meetings with victims, witnesses, law enforcement personnel, and Assistant District Attorneys. Enter, maintain, and manage a calendar of key case deadlines and court dates, ensuring timely preparation of case files for disposition. Accurately enter, manage, and maintain case information in electronic databases and statistical programs, ensuring data integrity and timely updates. Prepare computer-generated forms and correspondence required for case processing, including accurate manipulation of data fields. Conduct research to locate and verify current contact information, including addresses, for victims and witnesses. Answer and direct incoming calls while performing general receptionist duties, including greeting visitors and handling inquiries. Assist clerical support personnel as necessary
MINIMUM EDUCATION AND EXPERIENCE
High school diploma or GED from an accredited institution. Certificate from a recognized issuing agency. Prior clerical experience, preferably in a law firm with an emphasis on criminal practice. Experience using computer database programs to retrieve and manage information, as well as proficiency in word processing. Customer service experience interacting with the public and professionals, both in person and via phone or email. Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities.
MINIMUM KNOWLEDGE, SKILLS AND ABILITIES
Ability to maintain required security clearances, successfully complete all necessary training, perform assigned checks accurately, and obtain authorization to use relevant software. Proficient in communicating effectively in English both orally and in writing. Demonstrate accurate and efficient typing skills using a computer keyboard. Must successfully complete a comprehensive employment background check, including a criminal history check. Knowledge of standard office methods, rules, practices and procedures. Ability to understand and carry out both oral and written instructions. Demonstrates the ability to establish and maintain effective and cooperative working relationships with coworkers and others in the course of duties. Exhibits tact, discretion, and professionalism when interacting with members of the public. Ability to perform effectively under pressure while maintaining strict confidentiality in a fast-paced environment. Physical presence in the office is required
PHYSICAL DEMANDS
Physical lifting of multiple files and file boxes as necessary. Maximum weight of boxes is 15 pounds, which is usually required approximately once per week.
