Temporary/Permanent:
Temporary, Not to exceed October 31, 2026 Position Objective The Administrative & Fiscal Support Specialist provides critical, short-term administrative and fiscal operations support for UCAO programs and initiatives. This temporary role is designed to accommodate an increased volume of project preparation and logistical coordination for the high-activity Summer and Fall 2026 terms. Key Responsibilities & Duties 1. Fiscal & Travel Coordination Coordinate complex travel arrangements and itineraries for fellows, Principal Investigators (PIs), and program participants. Prepare and process travel authorizations, simple purchase requisitions, reimbursement requests, and associated fiscal documentation. Provide general purchasing support, tracking expenditures and reconciling receipts against project budgets. 2. Operational & Meeting Support Schedule, coordinate, and provide logistical support for Center meetings, workshops, and other events. Perform foundational administrative tasks, including data entry, filing/record-keeping, and office supply management. Assist in troubleshooting routine operational issues to ensure seamless day-to-day program execution.
Minimum Qualifications Education:
Bachelor's degree from an accredited institution.
Experience:
0-1 years of experience in an office management or administrative support role.
Administrative Skills:
Proficiency with standard office software (e.g., MS Office Suite, Google Workspace) and the ability to execute fundamental clerical tasks with high accuracy.
Fiscal Aptitude:
A foundational understanding of basic financial transactions, expense tracking, or budget reconciliation.
Communication:
Strong written and verbal communication skills, with the ability to interface professionally with diverse academic stakeholders.
Organization:
Excellent time-management skills and the ability to manage competing priorities under tight timelines.
