Job Description

The law firm of Marshall Dennehey seeks a full time Project Assistant II with 1+ years of experience for its New York, NY office. Prior law firm experience preferred.
Position Summary:
The Project Assistant II will provide administrative and project support to the Administrative Services team, ensuring the efficient and effective operation of various legal projects. This role involves managing documentation, coordinating meetings, conducting research, and liaising with clients and attorneys both inside and outside of the firm. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
RESPONSIBILITIES
Administrative Support:
Maintain and organize electronic documents within BEC and physical files. Assist with Accounts Receivable Projects with firm vendors. Maintain calendaring as directed by the Firm management team and/or attorneys. Download Court Documents and file into File Site. Electronically file Court documents as assigned Data and Time Entry. BigHand Workflow tasks as assigned Processing of Vendor Invoices Dictation as assigned Scheduling internal and external meetings Assist with closed file projects Projects as assigned by Office Manager and /or Administrative Director.
Project Coordination:
Support the planning, execution, and monitoring of projects. Track project timelines and milestones, ensuring deadlines are met. Assist in the preparation of project reports, summaries, and presentations. Coordinate with internal teams.
Data Management:
Input and manage data in various legal software and databases. Ensure accuracy and completeness of information in all records. Generate and distribute regular reports on project status and other relevant metrics.
REQUIRED SKILLS
Excellent organizational and time management skills. Strong written and verbal communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and legal software (e.g., case management systems). Ability to work independently and as part of a team. High level of accuracy and attention to detail. Ability to handle confidential information with discretion.
EDUCATION AND EXPERIENCE
High School Degree or equivalent experience. Minimum of 1-2 years of experience in a similar role, preferably in a law firm or legal environment.
PHYSICAL REQUIREMENTS
Prolonged periods of sitting at a desk and working on a computer. In office position that requires onsite attendance as per firm policy for the position. Repetitive movements that may include the wrists, hands and/or fingers. Must be able to understand the speech of another person and comprehend detailed information. Must be able to speak accurately, clearly and quickly so listeners can understand. Must be able to see details objects that are less than a few feet away.
Salary range:
$50,000 - $55,000 The posted salary range for this position is based on several legitimate, non-discriminatory factors set by the Firm.
