We are seeking a compassionate, organized, and client-focused Intake Specialist to join our Elder Law team. As the first point of contact for prospective clients, the Intake Specialist plays a vital role in creating a positive client experience by gathering information, coordinating consultations, and guiding individuals and families through the intake process. This position requires exceptional communication and organizational skills, attention to detail, and a genuine commitment to serving older adults and their loved ones. The Intake Specialist also provides administrative support to ensure the efficient operation of the practice.
Key Responsibilities:
Client Intake & Communication Serve as the primary point of contact for prospective and existing clients by phone, email, and in person, providing compassionate and professional service. Conduct intake interviews to gather relevant personal, financial, and legal information for attorney review. Maintain ongoing communication with clients by providing updates, answering general questions, and requesting additional information as needed. Assess the urgency and nature of legal matters to ensure timely scheduling and attorney review. Client & Attorney Coordination Schedule consultations and client meetings while coordinating calendars for attorneys and staff. Confirm appointments, collect outstanding documents, and ensure attorneys receive complete intake information before consultations. Facilitate a seamless transition from intake to active representation by coordinating with attorneys and paralegals. Document & File Management Prepare and distribute engagement letters, welcome packets, questionnaires, and other client communications. Maintain accurate electronic client files and ensure all intake records are complete, organized, and up to date. Administrative Support Manage incoming calls, correspondence, filing, and other administrative tasks to support daily office operations. Track deadlines and monitor the progress of intake matters to promote timely follow-up. Assist attorneys and staff with additional administrative projects as assigned.
Qualifications:
High school diploma or equivalent required; associate's or bachelor's degree preferred. Two or more years of experience in a customer service, administrative, healthcare, or legal environment. Excellent interpersonal, written, and verbal communication skills. Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Office and case management software. Exceptional organizational skills and attention to detail. Ability to maintain confidentiality and exercise sound judgment when handling sensitive information. Compassionate, patient, and professional demeanor when working with older adults and their families.
Preferred Skills:
