Role:
The Legal Operations Specialist is responsible for executing day-to-day legal operational processes that support the company's lien, foreclosure, and collections activities. This role ensures legal documents are prepared, filed, tracked, and maintained accurately while adhering to company procedures, statutory requirements, and service level expectations. The Legal Operations Specialist exercises sound judgment within established processes, proactively identifies discrepancies, and escalates matters requiring legal interpretation or operational guidance.
Role Responsibilities:
Prepare, review, record, and release liens and related legal documents in accordance with company procedures and applicable legal requirements. Perform ownership, bankruptcy, and other required due diligence verifications to ensure legal actions are supported by accurate information. Submit, monitor, and track legal filings with county recording offices, courts, attorneys, and other third-party agencies, ensuring timely completion and resolution. Maintain complete and accurate unit-level legal records within company systems, ensuring documentation is current, organized, and audit-ready. Monitor assigned work queues and prioritize tasks to meet internal service levels and statutory deadlines. Identify discrepancies, missing documentation, or process exceptions and take appropriate corrective action or coordinate with internal teams to resolve issues. Communicate professionally with attorneys, title companies, management companies, vendors, and internal stakeholders regarding routine legal operational matters. Support continuous improvement initiatives by identifying process efficiencies, documenting procedures, and providing feedback on operational workflows. Assist with general legal administrative functions and special projects as assigned. Escalate complex legal issues, exceptions, regulatory questions, or matters requiring legal interpretation to a Senior or Lead Legal Operations Specialist.
Education and Experience:
At least one year of experience in a legal role. Excellent written and verbal communication skills. Strong attention to detail and organizational skills. Ability to work independently and collaboratively within a team. Bachelor's degree strongly preferred. Proficiency with Microsoft Office (Word, Excel, PowerPoint). Proven ability to handle multiple projects simultaneously.
