JOB SUMMARY
The Donor Services Specialist plays a vital role in advancing the Community Foundation of Abilene's mission by enabling donors, fundholders, and team members to move philanthropic intentions into meaningful action. This role supports donor stewardship and development efforts through accurate gift processing, thoughtful communication, and responsive coordination that helps donors feel informed, supported, and confident in their giving. With a strong sense of tenacity, the associate ensures follow-through on donor requests, records, acknowledgments, and reporting—bringing reliability, consistency, and care to the details that build long-term trust. This role values persistence in seeing tasks through completion and maintaining high standards of accuracy and timeliness, even amid competing priorities. The Donor Services Specialist also contributes a galvanizing spirit, helping energize donor engagement through clear communication, proactive support, and collaboration across the team. By anticipating needs, responding promptly to inquiries, and assisting with donor-focused events and educational opportunities, the Specialist helps foster momentum, alignment, and shared purpose among donors, colleagues, and community partners.
KEY RESPONSIBILITIES
Working closely with the Donor Relations Director, this position provides both administrative and relational support that strengthens donor experiences, reinforces the Foundation's commitment to excellence, and advances collective impact for the Abilene community.
Responsibilities include:
Donor services & stewardship Assist the Donor Relations Director with donor fund management. Enable donors and fundholders to confidently conduct their charitable intentions by assisting with donor fund setup, including preparing legal files for new funds and maintaining accurate records for established funds. Support timely and accurate gift processing, donor welcome materials, and gift acknowledgment letters—ensuring follow-through so every donor feels valued and informed. Prepare annual giving letters, donor reports, and stewardship communications that help donors understand impact and stay engaged. Provide prompt, personal, and solution-oriented responses to inquiries from donors, fundholders, and prospects. Assist with preparation of materials, summaries, and reports for meetings with fundholders and prospective donors, helping move conversations toward action. Support donors in accessing and navigating the online donor portal, removing barriers, and increasing ease of engagement. Database management & reporting Maintain accurate donor profiles, contact information, and engagement records within the donor management system, demonstrating persistence and attention to detail. Organize and maintain digital and paper donor files to ensure information is accessible, consistent, and reliable for the team. Record donor interactions and updates consistently, supporting continuity of relationships across staff. Assist with production of timely and accurate reports, mail lists, and email lists that enable effective communication and outreach. Monitor news and media outlets for donor-related information, including obituary tracking, and notify appropriate staff to ensure thoughtful and responsive stewardship. Participate in data cleanup projects and routine system audits, seeing tasks through to completion, strengthening long-term systems and trust. Administrative & team support Schedule and coordinate meetings for donor relations and development staff, helping teams stay aligned and energized around shared goals. Prepare agendas, take notes, and assist with follow-up action items to ensure momentum and accountability. Assist with special projects and cross-departmental initiatives, adapting to evolving needs and supporting collective progress. Manage inbound calls with warmth and professionalism, offering clear direction and reinforcing a positive donor experience. Qualifications & attributes Familiarity with donor management databases or CRM systems; comfort learning and consistently using systems that support donor relationships. Strong planning and organizational skills with the ability to manage multiple tasks, meeting deadlines with care and consistency. College degree or equivalent work experience; nonprofit experience preferred. Proficiency in Microsoft Office 365 (Excel, Word, Outlook, PowerPoint, SharePoint, OneDrive). Clear and professional written and verbal communication skills, with the ability to encourage engagement and move people toward next steps. Professionalism and ease in working with donors, community leaders, nonprofit partners, board members, and colleagues. Discretion and confidentiality in handling sensitive donor and organizational information. A collaborative, service and team-oriented mindset with a genuine desire to support others and remove obstacles to progress.
