Job Description

Key Responsibilities Open and manage transaction files from contract to closing, tracking deadlines and contingency dates Order and review title commitments, surveys, payoffs, HOA documents, and tax information Clear title objections and coordinate resolution of liens, judgments, and other defects Prepare closing documents, including deeds, affidavits, settlement statements, and the closing disclosure/ALTA statement Communicate regularly with clients, lenders, real estate agents, and title companies to gather documents and provide status updates Schedule and, where permitted, assist with closings Handle post-closing tasks: recording documents, disbursing funds reconciliation, issuing title policies, and file closeout Maintain organized physical and electronic files and ensure compliance with firm and regulatory requirements Manage attorney calendar, correspondence, and general administrative support as needed Qualifications [1-3+] years of experience in real estate, title, or a law firm transactional setting Familiarity with real estate closing procedures and documents. Paralegal certificate or relevant degree preferred (or equivalent practical experience) Strong organizational skills and exceptional attention to detail Excellent written and verbal communication Proficiency with [Microsoft Office] and ability to learn case management/closing software (experience with [Qualia, SoftPro, Clio, or similar] a plus) Notary commission a plus, or willingness to obtain one Ability to manage multiple files and deadlines in a fast-paced environment
