Rose Law Group is seeking a highly organized and professional assistant to provide administrative and clerical support to attorneys and staff. Primary responsibilities include preparing and finalizing correspondence and legal documents, managing calendars and appointments, handling administrative tasks, and supporting general office operations. This position also serves as backup receptionist, including greeting and announcing visitors, answering a multi-line phone system, responding to general inquiries, processing payments, distributing mail and deliveries, maintaining files, assisting with event planning, manage the reception area and kitchen maintenance. - Provide day-to-day administrative support to attorneys and office staff
- Manage calendars, schedule meetings and make travel arrangements
- Prepare, edit, proofread, format correspondence, legal documents
- Coordinate lobbying registrations with local municipalities
- Register attorneys for Continuing Legal Education programs and send deadline reminders
- Assist with event planning
- Creating labels, packets, or binders
- Assist with document preparation, scanning, copying, and distribution
- Organize and maintain filing systems
- Handle incoming and outgoing mail, packages, and courier deliveries
- Order and maintain office supplies and coordinate equipment vendor/service requests Requirements
- Requires at least 2 years of administrative experience
- Must have a friendly, outgoing personality with a great attitude
- Professional appearance
- Requires excellent phone etiquette and communication skills
- Must be detailed oriented and organized
- Ability to manage multiple priorities in a fast-paced environment
- Ability to work independently and meet deadlines
- Ability to handle sensitive and confidential information with discretion
- Strong proficiency with MS Outlook, Word, Excel and Adobe Acrobat
- Ability to operate general office equipment/printer/copier/scanner
- Requires lifting of courier deliveries Full-time, Monday-Friday/8am-5pm.
