In this role, you will be an essential part of daily operations — helping attorneys stay organized, keeping clients informed, and ensuring cases move forward efficiently. This position reports to the Operations Department and works closely alongside the legal team on a daily basis. What You'll Do Attorney & Legal Team Support Assist attorneys with administrative and clerical tasks related to active cases Prepare, print, scan, copy, and assemble legal packets and supporting documents Format and proofread legal documents for grammar, spelling, completeness, and consistency Organize case materials and prepare files for attorney review Take notes during meetings, consultations, or internal discussions as needed Prepare packets for mailing, shipping, or in-office filing Client Communication & Follow-Up Contact clients regarding appointments, biometrics, interviews, hearings, deadlines, or document requests Follow up with clients to obtain missing documents or information required for legal packets Conduct client intakes and gather preliminary case information for attorney review Answer incoming calls and direct client questions appropriately Provide professional and compassionate customer service throughout the legal process Government Agency Communication Contact USCIS and other government agencies regarding case updates, notices, and appointments Document all communications accurately in the case management system Office & Administrative Support Maintain organized physical and digital case files Assist with mail processing, certified mail, shipping labels, and package tracking Support scheduling coordination and administrative follow-up Help maintain organized attorney workspaces and filing systems Assist with general office operations as needed What We're Looking For Previous experience in office administration, legal support, or a related field preferred Immigration law experience is a plus — but we will train the right person Strong organizational and multitasking abilities Excellent written and verbal communication skills in English Strong grammar, proofreading, and attention to detail Professional phone etiquette and client service skills Proficiency in Microsoft Office and/or Google Workspace Experience with case management systems is a plus Bilingual in English and Spanish strongly preferred You'll Thrive Here If You Are Detail-oriented and take pride in accuracy A clear communicator — both written and verbal Organized and able to manage multiple priorities at once Reliable, punctual, and follow through on tasks A team player who also works well independently Discreet and professional when handling confidential information Service-minded and empathetic toward clients going through complex legal processes.
