In this vital role, you will provide comprehensive administrative support to attorneys and legal professionals, ensuring smooth office operations and efficient case management. This paid position offers an exciting opportunity to develop your skills in a fast-paced legal setting, supporting client communication, document preparation, and office management activities. Responsibilities Manage multi-line phone systems, answer inquiries promptly, and direct calls with professionalism and courtesy. Prepare, proofread, and format legal documents, correspondence, reports, and spreadsheets using Microsoft Office Suite and productivity software. Maintain organized filing systems for physical and electronic documents, ensuring easy retrieval and confidentiality. Assist with calendar management, scheduling appointments, court dates, meetings, and deadlines to keep attorneys on track. Handle data entry tasks accurately within legal databases such as QuickBooks or other case management systems. Support client communication through phone calls, emails, and in-person interactions with excellent phone etiquette and customer service skills. Perform clerical duties including photocopying, scanning, faxing, and managing office supplies to ensure seamless daily operations. Provide front desk support by greeting visitors, managing visitor logs, and coordinating office logistics efficiently. Support office management tasks such as organizing files, maintaining office equipment, and assisting with administrative projects as needed. Experience Previous clerical or administrative experience in a legal or professional office environment is highly preferred. Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tools. Experience using QuickBooks or similar accounting software is a plus. Bilingual abilities are advantageous for communicating with diverse clients and stakeholders. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Demonstrated strong communication skills—both verbal and written—with a focus on professionalism and customer support. Proven ability to manage multiple responsibilities simultaneously while maintaining attention to detail.
