Mendez, PLLC is a boutique law firm located in Hialeah, Florida specializing in the areas of commercial litigation and business transactions. We are seeking a professional, organized, and client-focused Part-Time Intake Specialist / Legal Assistant to join our growing team. This position requires onsite availability three days per week, with opportunities for additional flexible hours as needed.
Qualifications:
Must be able to work in a fast-paced environment and be self-motivated Must be bilingual and fluent in both English and Spanish Must be punctual with good attendance Demonstrate attention to detail and accuracy, ability to multitask, excellent customer service, and strong interpersonal skills Outstanding communication skills in person, in writing, and over the phone Knowledge of Microsoft Office and other office management tools and applications Prior administrative, reception, or legal office experience preferred but not required Must become a Florida Notary Public within 60 days of employment (firm-sponsored for the right candidate)
Responsibilities:
Welcome visitors and answer incoming calls in a professional and courteous manner Communicate with clients, opposing counsel, and referral partners regarding scheduling, case updates, and additional documents needed by the attorney Schedule appointments, handle inquiries, process new client calls, and manage mail and deliveries Welcome clients and visitors upon arrival to the office lobby Answer, screen, and forward phone calls professionally Direct the flow of mail, faxes, and deliveries to intended recipients Order and replenish office supplies Assist with copying, scanning, faxing, emailing, note-taking, and travel bookings Prepare meeting set-ups and arrange refreshments, when required Maintain professionalism, business etiquette, and a polished appearance at all times Provide administrative support to the Client Relations Manager, Lead Attorney, Assistant Client Relations Manager, and Records Litigation Manager Maintain accurate client records and assist with general office operations
