The candidate is expected to be very professional, friendly, motivated, customer service oriented individual to fulfill our receptionist role! This is a full-time position. Standard days and hours of work are Monday through Friday 8:30-5:30pm.
JOB DUTIES
  • Greeting clients/visitors and answering visitor inquiries.
  • Answering and routing incoming calls on a multi-line telephone system.
  • Maintaining and scheduling conference rooms.
  • Maintaining the waiting area, lobby or other public areas.
  • Serving coffee or tea to guests
  • Ordering supplies
  • Scanning, photocopying, faxing and filing documents
  • Collecting and sorting mail and hand-delivered packages
  • Receives, verifies, organizes, and sorts between critical and noncritical paperwork and documents for the Attorney or Attorney Liaison (AL) to prioritize matters of importance and handle accordingly.
  • Enters and maintains information, documents, and records into various paper files.
  • Edit client legal files in database format by uploading documents, reports, attachments, and other data as assigned by the Attorney and AL.
  • Type routine correspondence, memos or other office documents as directed.
  • Open and sort incoming mail and prepare Attorney and AL outgoing mail for delivery.
  • As necessary, maintain calendar entries for Attorney.
  • Prepare documents in batches for digital scanning by prioritizing workflow.
  • Answer telephones, and answer routine questions.
  • Assist with Intake new calls / potential clients.
  • Maintain confidential and sensitive information.
  • Request Medical Records
SKILLS & ABILITIES
  • Must possess excellent interpersonal and customer service skills to communicate with attorneys, clients, vendors, staff and others.
  • Ability to operate multi-line telephone system & office equipment such as computers, printers, scanners, and copiers
  • Must have excellent verbal, written and phone skills
  • Efficient with Microsoft Office
  • Attention to Detail
  • Highly Organized
  • Positive, upbeat attitude
  • Patience in dealing with difficult visitors or calls
  • Dependable
  • Bilingual (English-Spanish) is preferred
  • Strong multi-tasking ability
