Job Description

HOA Legal Assistant Job Description The Legal Assistant is responsible for providing clerical and administrative support to the Paralegals. The Legal Assistant is the liaison to the Paralegals and homeowners primarily but will also interact with HOA Managers and Board members. The Legal Assistant will be expected to work in a professional manner with the Board of Directors, Owners/Residents, Staff, and Vendors.
Responsibilities:
Duties include but are not limited to: 1. Provide administrative support to the Paralegals/Attorneys. 2. Responsible for Scanning and E-filing all correspondence. 3. Organize and maintain files by providing notes and saving all correspondence with updates or any new development on files. Opening new files and inputting case information. 4. Must be computer proficient with expertise in Microsoft programs, Outlook, Word, Excel, Internet. 5. Interact with HOA managers and assist with addressing emergency requests as necessary. 6. Field and respond to inquiries via phone, email from owners, HOA staff, and other interested parties in a timely manner. 7. Assist Owners to comply with HOA requirements, documents, rules and regulations regarding covenant enforcement. Collections assistance to homeowners as well. 8. Maintain confidentiality of all Owners, staff, and board matters. 9. Must be proficient in written communication for letters, memos, and customer interaction. 10. Must have exceptional communication skills both written and verbal with a polished, professional and friendly demeanor. 11. Ability to solve practical problems and deal with difficult situations as well as organize and manage priorities. 12. Must have strong work ethic, be self- motivated, proactive, excellent attention to detail and a team player.
