We are seeking a highly organized, self-driven Probate Paralegal to independently manage a high-volume caseload from inception to completion. This role is designed for someone who thrives in a fast-paced, deadline-driven environment and takes full ownership of their work. Position Overview The Probate Paralegal will manage probate matters from open to close while ensuring efficiency, accuracy, and exceptional client service. This role requires strong initiative, excellent communication skills, and the ability to independently move cases forward with minimal supervision. You will serve as a key point of contact between clients, courts, attorneys, and third parties while maintaining full accountability for deadlines, documentation, and case progression. Essential Job Functions Independently manage a high-volume probate caseload from open to close Maintain proactive and consistent communication with clients, courts, and third parties Draft probate pleadings, court documents, and correspondence for attorney review and filing Prepare discovery materials, including requests, responses, and supporting documentation organization Track and manage all case deadlines, including pleadings, discovery, financial disclosures, hearings, and trial-related deadlines File probate documents with Florida courts in compliance with procedural requirements Prepare and complete estate accountings, including reconciliation of assets, liabilities, receipts, and distributions Maintain accurate case notes and billable time entries in the firm's case management system Meet billing expectations of a minimum of 21 hours per week, with a goal of 25 hours per week Collaborate effectively with attorneys and staff while maintaining ownership of assigned matters Take initiative to identify issues, resolve procedural matters, and advance cases independently Pursue continuing legal education and professional development opportunities Occasional Duties Assist legal and administrative staff as needed Perform additional tasks as assigned by supervisor or ownership
Accountability Records Management:
Maintain accurate, confidential, and well-organized case records with strict professionalism and discretion
Client Experience:
Ensure every client interaction reflects urgency, empathy, and professionalism, clients should never feel overlooked
Operational Excellence:
Follow workflows, meet deadlines, and maintain consistent follow-through on all responsibilities Supervisory Responsibility This position does not include supervisory duties. Qualifications Bachelor's degree in Paralegal Studies, Legal Studies, Political Science, or related field (or equivalent experience) Minimum of 4+ years of probate paralegal experience Strong written and verbal communication skills Highly organized with the ability to manage competing priorities in a fast-paced environment Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn new systems Professional demeanor with strong emotional intelligence and judgment Proficiency in Legal Case Management Systems such as MyCase Requirements Valid driver's license and reliable transportation Working cell phone with voicemail set up Ability to work fully on-site with a set schedule
Working Schedule Monday-Thursday:
9:00 AM•5:00 PM Office closed daily for lunch: 12:00 PM•1:00
PM Friday:
9:00 AM•12:00 PM Compensation & Benefits Hourly pay (based on experience) 80 hours of PTO granted after 90 days of employment 9 paid holidays + 2-week Winter Break +
Thanksgiving Break Performance Bonus Incentive:
Employees who consistently achieve 25 billable hours per week are eligible for a monthly performance bonus based on productivity, accuracy, and overall performance.
