Job Description

Job Overview A fast paced small law firm is looking for a proactive, self starter and dedicated team member. Legal experience welcomed, but is not required, as we are willing to train the right candidate who has excellent organization, communication, technical and problem solving skills. We are looking for a dependable candidate who possesses problem solving ability skills, self motivation, organization and dedication to the success of the office. We are looking for a "can do" attitude whether working independently or as part of a team. The candidate must be eager to learn and engage in informal extensive on the job training. Excellent written and verbal communication skills are required. This position requires integrity to always maintain confidentiality in all matters related or potentially related to the office. Success in this position requires exceptional organization and ownership .This position may require more than 40 hours per week on occasion and is in a fast paced environment. Advancement in skills would be expected throughout the first year of employment, which may include opportunities for bonuses or a pay increase.

The following are basic job duties. Perform routine office tasks independently.
Includes:
Excellent skills in generating and managing Outlook Mail, Calendar, EXCEL, Word and adobe acrobat, operating a copier machine, scanning, saving documents according to office protocol, which include indexing paper and electronic. Ability to learn law office designated software with limited oversight. General administrative support . This includes, but is not limited to, the following: screening calls, managing communications timely and professionally , preparing correspondence, arranging meetings, ordering office supplies, manage document distribution. Problem solving using resources provided with limited supervision. Excellent attention to detail is required. Case management for clients . This includes, but is not limited to the following: utilizing electronic systems throughout the day, entering task and managing task ( with limited supervision) within the office electronic systems. Reviewing and adhering to all deadlines. Ensuring all supporting documents are entered timely into office electronic system and labeled appropriately. Maintain accurate contact numbers and correspondence with all clients in office systems. The applicant must be able to make decisions on prioritizing task. This position requires the applicant to anticipate, calendar and proactively manage deadlines well in advance. This includes planning work so that critical deadlines are met even when there is unexpected time away from the office or an urgent legal matter is required to handle. Direct legal and attorney support. This job requires dedication to the team and managing multiple duties, interruptions and deadlines within the same day that support the attorney and the office.

Examples include: Drafting documents, handling timely filings, scheduling depositions, interviews, travel to other counties to collect documents, meet with clients as necessary, gather and organize documents provided by clients, summarize documents, submit summaries and next steps in clear written and verbal communication, assist with preparation for depositions, hearings and trials, provide support for real estate closings and transactions. Ensure all items are updated in the system daily for transparency for the team and attorney. Must excel at anticipating deadlines and critical task to support the attorney, even when the attorney or others are out of the office.

This position requires sitting, bending, stooping, computer keyboarding, continuous use of the hands, telephone contact, reading and may require lifting of 25-50 lbs or more. Business casual dress is required. Hours would be 8:30-5:00 Monday-Friday, with occasional time required outside of those hours and days.
