Job Description
We are seeking a full‑time paralegal with experience in estate planning and estate administration and a strong accounting background. Experience with real estate matters and corporate formations is a plus. This role involves a mix of legal and administrative responsibilities. The ideal candidate is highly organized, proactive, and detail‑oriented, with solid accounting skills and experience handling fiduciary and tax‑related matters.
Responsibilities include:
General Office Duties:
Communicate with clients in an effective and professional manner. Answer incoming telephone calls and direct inquiries appropriately. Schedule and manage client appointments. Update and maintain client information within the firm's computer databases. Create, organize, and maintain both physical and electronic client files. Ensure ongoing maintenance and organization of all firm files. Maintain and update firm databases and spreadsheets. Draft and send correspondence, including letters, emails, and faxes. Scan, upload, and properly store all documents within the firm's document management system.Paralegal Duties :
Surrogate's Court & Estate Administration Manage a broad range of Surrogate's Court matters, including probate and administration proceedings from initial petition through final decree. Prepare and file probate petitions, administration petitions, citations, waivers, and supporting affidavits in compliance with court requirements. Oversee estate administration processes, including asset collection, creditor notifications, distributions, and closing procedures. Prepare formal and informal accountings, supporting schedules, and related court filings. Handle guardianship proceedings under Article 17 and Article 17A, including preparation of petitions, supporting documentation, and coordination of required appearances. Maintain organized case management systems, track deadlines, and ensure compliance with Surrogate's Court procedures. Communicate effectively with fiduciaries, beneficiaries, court personnel, and clients in sensitive and often complex matters. Non‑Probate Estate Settlements Handle settlement and administration of trusts. Estate & Trust Administration Manage probate and administration proceedings from commencement through closing. Prepare and file court documents and related petitions. Assist fiduciaries with asset collection, valuation, and distribution. Prepare estate and fiduciary accountings. Coordinate with accountants regarding estate and fiduciary income tax matters. Communicate regularly with beneficiaries and clients throughout the administration process. Estate Planning Draft wills, revocable and irrevocable trusts, special needs trusts, powers of attorney, health care proxies, and related estate planning documents. Assist with funding trusts, including preparation of deed and transfer documents, assignments, and beneficiary forms.Job Type:
