A Paralegal or Legal Assistant assists attorneys and law offices with a variety of tasks ranging from administrative support to legal research and writing. Maintains and organizes files or file databases. Conducts legal or other background research, assists with preparation for trials or hearings, and drafts documents to be filed. Uses software for electronic discovery of materials such as email for a trial. May specialize in a particular area of the law such as corporate or criminal law, family law or real estate law.

Job Description

Assists attorneys and staff with various tasks in a real estate law firm, ensuring efficiency by providing clerical services and other supportive aid. Responsibilities include administrative and secretarial duties, document preparation, scheduling, and client communication.
Tasks may include:
  • Answering phones, managing files (both physical and electronic), scanning and copying documents, scheduling appointments, preparing outgoing packages and handling mail.
  • Drafting legal documents, scheduling closings, meetings, etc., assisting with organizing and maintaining case files, interacting with clients and other legal professionals, and providing updates on case status.
  • Preparing closing documents, coordinating ongoing projects, developing procedures to track client matters, attending meetings/hearings while taking and consolidating notes, maintaining calendars, and working closely with various team members to promote clear communication. Skills & Experience needed:
  • Minimum of an Associate's Degree and five years' experience in Real Estate law or related field. ABA Paralegal Certification and/or Bachelor's Degree in Paralegal Studies a plus.
  • Strong understanding of legal terminology and real estate verbiage.
  • Knowledge and proficiency in PC applications, including MS Office Suite (Word, Excel, Outlook) and other relevant software; comfortable navigating various online databases.
  • Ability to manage time well and prioritize effectively with careful attention to detail.
  • Superior analytical, oral and written communication skills.
  • Well-developed and professional interpersonal skills.
