JOB SUMMARY
Provide administrative and clerical assistance to the Legal Department. Essential Duties and Responsibilities Administrative Assistant supplies administrative and clerical support to the Chief Legal Officer, in-house attorneys, and other members of the Legal Department. This position is a hybrid role. Responsibilities Maintain and organize physical and electronic legal files, records, and correspondence in accordance with department retention policies. Assist attorneys and legal staff with administrative support and special projects as assigned. Coordinate meetings, conference calls, and appointments for legal department personnel. Assist with maintaining corporate records, entity information, and other compliance documentation, including but not limited to the creation of corporate company binders and document indices. Perform scanning, copying, faxing, and printing documents. Prepare documents for live signatures and/or e-signatures. Must be able to or be familiar with the Adobe Acrobat Sign platform/application. Assist with preparing and coordinating domestic and foreign documents for notarization, legalization, and apostille. Administer E-billing approvals and invoices on the Onit/SimpleLegal platform; coordinate affiliate invoice review and payment; set up new vendors and create new matters on the Onit/SimpleLegal platform. Additionally, assist and liaise with the Accounting Department on invoice approvals, invoices, and billing requirements. Scan and upload documents to the appropriate folders on the SharePoint site or other department-designated repositories for use and retention in accordance with department folder and file-naming conventions. Monitor and maintain department-shared mailboxes and route inquiries appropriately, including, but not limited to, distributing incoming mail/packages and preparing outgoing packages. Coordinate travel arrangements and travel-related expense reconciliation for legal department personnel, including but not limited to preparing expense reports. Coordinate and place orders for departmental supplies as needed. Enter Purchasing Requisitions in Oracle Applications and submit for approval. Prepare petty cash reports and submit all receipts for approval.
Required Qualifications:
High School Degree and minimum 3-5 years of experience in an office setting. Work experience as an Executive Assistant, Personal Assistant, or similar role. Ability to manage multiple assignments, set priorities, and adapt to changing conditions. Be a results-driven achiever with excellent organizational skills. Customer service mentality with a detail-oriented mindset. Exemplary interpersonal relations and relationship-building skills. Ability to work in a fast-paced environment and maintain a sense of urgency. Ability to work both quickly and accurately. Proficiency in MS Office Suite, which includes, but is not limited to, Microsoft Word, Excel, PowerPoint, and Outlook Familiarity with Adobe Acrobat, Adobe Sign, SharePoint, Oracle, and willing to become subject matter expert on certain legal matter systems like Onit/SimpleLegal. Outstanding organizational and time management skills. Excellent English verbal and written communication skills.
